Position Overview

QinetiQ US is seeking a Front Office Administrative Assistant to support a fast paced research and development organization within the Department of Defense (DoD). The Front Office Admin will work within the Front Office accomplishing routine administrative items and be responsible for Records Management and Coordination of taskers.



Responsibilities

    Successful candidates should be familiar with DoD Records Management Policy and will be responsible for organizing, developing and implementing a Records Management plan for the organization
  • Be the sole Point of Contact and interface with the OSD Records and Information Management (RIM) Program Office
  • Coordinate with Chief of Staff and Chief Information Officer to implement Records Management program using AI tools as applicable
  • Serve as the backup to the Executive Assistant supporting the Director and Deputy Director with executive calendar management, briefing prep, and routine administrative tasks as required
  • Provide support to high-level engagements requiring official protocol support
  • Responsible for the organizations Correspondence and Task Management System (CATMS) programs
  • Coordinate, draft responses and track taskers in CATMS on all networks (NIPR, SIPR & JWICS)
  • Responsible for routing administrative front office functions such as but not limited to:
    • Managing calendars
    • Escorting Visitors
    • Facilitating Clearances and Building passes
    • Coordinating and scheduling conference rooms, VTCs and secure phone calls
    • Ordering Office Supplies
    • Organizing Farewell photos/events
    • Ordering Business Cards
  • Special projects as desired


Required Qualifications

  • TS/SCI-Eligible - Currently hold an active TS/SCI or have held an SCI and have been debriefed in the last 24 months; #qinetiqclearedjob
  • Bachelors degree in administration, business or other similar topic
  • Minimum of 15 years of experience
  • Previous CATMS and Records Management Experience Required
  • Previous experience supporting a DoD Program Office, SES or General Officer
  • Proficient in MS PowerPoint, excel and/or other Microsoft products
  • Excellent communication skills, ability to work in a team environment, and be independently motivated.


Preferred Qualifications

  • Previous support to a RDT&E organiztion or program office of more than $1B
  • Navy Yoeman experience
