Job Title: Senior Administrative Assistant/ Executive Assistant

Location: Providence RI 02908

Duration: 5+ Months (possible Extension)

Shift Timing: Tuesday - Thursday (9:00am to 4:30pm which includes 30-minute unpaid lunch) 100% onsite] When needed, it will become: Full time (35 hours)

Monday - Friday (9:00am to 4:30pm which includes 30-minute unpaid lunch) Monday & Friday remote Tuesday - Thursday will remain onsite

Roles and responsibilities:

  • To perform responsible administrative work assisting the Director of Health Source RI and the HSRI senior leadership team in planning, coordinating, implementing and controlling the daily functions of Health Source RI.
  • To assist the Director by relieving him or her of administrative details involving correspondence with other divisions and departments and the public.
  • To perform office management work that keeps the division running efficiently and effectively.
  • To perform responsible administrative work assisting the Director of the Healthsource RI in correspondence and scheduling with parties both inside and outside of government.
  • To assist the agency in human resource-related administrative tasks such as onboarding and offboarding.
  • To organize and maintain administrative and office management records such as agency decisions and approvals, public meetings and preparations, organizational charts, contact lists, floor plans, and furniture and technology asset management.
  • To coordinate and track requests related to office infrastructure with other divisions or agencies as needed.
  • To monitor office access and keep visitor records.
  • To do related work as required.


Required Knowledge, Skills:

  • Strong organizational, communications and interpersonal skills are a must, as is the ability to work interdependently in service to a dynamic team.
  • The ability to prioritize the right tasks with minimal supervision, and work on multiple tasks in a fast-paced environment, is necessary.
  • High proficiency in Microsoft Office, including PowerPoint and Excel are needed.
  • Willingness to learn quickly and an ability to cope with ambiguity and change is critical to this role. Ability to switch from task to task based on team needs and agency priorities.
  • Some college preferred and/or prior administrative experience.
  • Prior C Suite experience highly preferred.
