General Information:

The School of Nursing at James Madison University seeks an administrative professional providing comprehensive administrative and operational support for the BSN- Fast Flex, which serves a population of students pursuing their baccalaureate degree through evening and weekend course and clinical delivery models. The role promotes and upholds the values of the School of Nursing while ensuring smooth coordination of program operations, including admissions support, student record management, budget management and faculty liaison activities. In addition, the position contributes to the broader School of Nursing by collaborating across programs and ensuring consistency with university standards and accreditation requirements.

Duties and Responsibilities:

Manage the BSN- Fast Flex Program Coordinator's calendar and support workflow prioritization. Serve as the central point of contact for inquiries related to the BSN- Fast Flex, ensuring professional and timely communication with prospective, current, and alumni students, as well as faculty and external stakeholders. Screen visitors and calls, directing inquiries appropriately while maintaining confidentiality and professionalism.

Organize and oversee the admission process for the BSN- Fast Flex and concurrent enrollment programs in collaboration with the Program Coordinator. Conduct initial transcript reviews for all potential students, create electronic documentation for Program Coordinator review, and provide clarification and follow-up with applicants as needed. Organize and maintain accurate student records, files, and databases for prospective, enrolled, and alumni students in compliance with university and accreditation standards. Ensure all admission documentation, files, and correspondence are accurate, complete, and securely maintained.

Plan and coordinate BSN- Fast Flex events and meetings. Prepare agendas, take and distribute accurate minutes, and maintain recordkeeping. Collaborate with PCE and marketing staff on recruitment and outreach events; attend events as needed, including day travel.

Assist the Clinical Coordinator with the clinical placement process by maintaining placement spreadsheets and supporting communication between students, program coordinator, and clinical agencies. Ensure finalized placements and confirmations are routed appropriately to the School of Nursing front office.

Support the Clinical Coordinator with oversight of immunization and other required documentation for clinical readiness ensuring timely collection, review, and record maintenance.

Maintain computerized accounting of the operating budgets of the E&G, and differential tuition, budgets. Maintain school credit card, make purchases and reconcile card monthly. Completes part time T&R, summer payroll and timesheet entry. Prepares adjunct instructor contracts and PAR forms.
Other duties as assigned.

Qualifications:

* Demonstrated proficiency in managing and coordinating office processes and fluency with Microsoft Office Products.
* Strong skills in designing, managing, and analyzing spreadsheets to support program admissions, student progression tracking, budgeting and accreditation reporting.
* Must be self-directed and able to complete multiple projects with limited supervision.
* Exceptional organization skills and ability, and ability to be flexible.
* Exceptional oral and written communication skills, and strong interpersonal and listening skills.
* Detail -oriented and able to work with a high degree of accuracy.
