Position Summary
This position assists in processing accounts payable and accounts receivable documents for the college and provides customer service duties including answering questions and phone inquiries both from the campus community and vendors. This position assists with student account issues, provides customer service and communication to students regarding their accounts. This position supports varied office and clerical functions in Financial Services. This position reports to the Assistant Director of Financial Services.

Essential Functions
-
- Receive documents for accounts payable processing from off-campus vendors and other departments on campus.
- Prepare and process college payments (Purchase Orders/Procurement Cards/Invoice Vouchers/Voucher Distributions) to authorized vendors, contractors and others providing goods & services to the college.
- May notify students of past due balances, using various methods of communication following the College's student collection policy.
- Prepares payment structure, applies payments, and reviews student payment plans with payment plan company, Nelnet.
- Verify charges, payments, adjustments made to student accounts are accurate and posted in a timely manner.
- Ensure all waivers are posted and administered correctly.
- Set-up third party vendor accounts, assign sponsorship to student accounts and process quarterly invoice billing statements for third party vendors.
- Coordinate and assist in analyzing and issuing student refunds.
- Coordinate with Financial Aid Office applying funds to students' accounts and processing financial aid refunds via Higher One.
- Ensure payment documentation includes evidence of authorization for purchase, receipt of goods or services, verify that all unit prices on the invoice agree with those indicated on the disbursement document plus all extensions have been correctly calculated along with approval for payment.
- Contact vendors, purchasing office, budget managers and/or supervisors to obtain additional information, if necessary to process payments plus process liquidations upon payment of invoices or notification of purchase order cancellations. Research vendor claims and resolve problems related to accounts payable.
- Assist in the input of all approved accounts payable documents to college's accounting system.
- Interact with campus personnel at all levels and college vendors by telephone, e-mail or in person to accomplish the work required.
- Assist with responding to inquiries regarding A/P expenditures.
- Provide routine clerical support such as making copies, running reports, and filing paperwork.
- Handle confidential materials and information.

Qualifications

Minimum Qualifications
- High school graduate or equivalent.
- 15 quarter hours or 10 semester hours of college-level accounting or bookkeeping.
- 1 year of fiscal experience; equivalent education/experience may substitute.
- Intermediate word processing and spreadsheet software experience.
Preferred Qualifications
- Associate's degree in Accounting or related field from an accredited college or university.
- 2 years of experience working in accounts payable experience
Conditions of Employment
- Successfully pass a criminal history background check prior to employment.
- Ability to work as scheduled and fill-in on an as needed basis.

Terms of Employment
This is a part-time non-permanent position bound by the
WAC 357-04-045
provisions above. This position's schedule is Monday - Friday 8:00am - 2:00pm or 9:00am - 3:00pm scheduled to work 30hrs/week.
The rate of pay for the position is $20.00 - $20.00 per hour.
