We're looking for a Document Controller to join Procore's Levelset Document Control team. In this role, you'll provide our customers with a five-star experience by owning all touch points of their filed documents. This includes working in multiple software systems with hundreds of unique process scenarios that require speed and accuracy. You'll work to empower our customers to get what they've earned by providing a fast, efficient, and qualitative county recording process.

As a Document Controller, you'll partner with the Lien Rights Management team to facilitate the signing, processing, and recording of Levelset customers' liens and similar real estate documents. Use your troubleshooting, communication, writing, and sharp focusing skills to help our customer secure their lien rights and get paid.

This position reports into Document Control Manager and will be based in our New Orleans office from 8:30 am - 5:00 pm Monday-Friday. We're looking for someone to join us immediately.

What you'll do:

  • Process documents that need to be generated, notarized, and sent for recording

  • Manage the flow of assigned documents signed and returned by our partners

  • Process all customer documents sent through USPS mail, both in person and electronically, with a keen eye for any important details

  • Contacting US County offices to ascertain fees and requirements for document recording, troubleshoot any potential issues, etc. when required

  • Develop and maintain a comprehensive understanding of unique county-specific recording requirements and proactively adapt processes to ensure compliance.

  • Identify and escalate issues that may affect timely recording of documents or overall customer experience

  • Provide WOW-worthy internal support to help our other departments needing information on document control

What we're looking for:

  • 1+ years of experience working with legal documents, preferably in real estate, title, or construction, with a strong understanding of recording processes.

  • Bachelor's Degree is required.

  • Demonstrated proficiency in utilizing and troubleshooting multiple software systems simultaneously, including e-recording platforms and document management systems.

  • Advanced proficiency in grammar and punctuation, with meticulous attention to detail and a strong understanding of legal document terminology.

  • Excellent communication, collaboration, and problem-solving skills, with the ability to explain complex technical information clearly.

  • Proven ability to work independently, prioritize tasks effectively, and manage deadlines in a fast-paced environment.

  • Strong analytical skills with the ability to identify trends, propose solutions, and contribute to process improvements.

  • Experience with process automation tools or data analysis software is a plus.

  • Construction Industry experience is a significant plus.

Base Pay Range:

20.88 - 28.70 USD Hourly For Los Angeles County (unincorporated) Candidates:
