Job Title: Dispatch Coordinator



Normally Reports to: Manager - Logistics & Distribution




Job Objective: The role of the Fuel Dispatch Assistant is to dispatch fuel trucks in an efficient manner while maintaining superior customer service.


Essential Duties and Responsibilities: In addition to the essential job functions described below, all associates will perform duties as requested by management. Assigned responsibilities and duties may vary based upon location size and operation.



  • Check in all tickets and BOLs; ensure BOLs are priced and coded
  • Fill out sales orders and check pricing from refineries
  • Compile fuel inventories from bulk plant locations
  • Conduct monthly inventory
  • Report any accident or incident to location manager immediately Support dispatchers with the following:

    • Quote fuel prices for customers
    • Dispatch trucks as needed to obtain or deliver fuel on schedule o Maintain on-call-status 24/7
    • Ensure drivers are following company policies and complying with all legal limits, company, state and federal


  • Supervise or perform daily truck inspections
  • Operate office machines such as PC, adding, calculating, and duplicating machines.
  • Report any accident, incident or unsafe condition to supervisor immediately.
  • Always provide cheerful, professional customer service.
  • Treat clients and coworkers with respect and courtesy.
  • Additional duties as needed and assigned.

Education and/or Experience:



  • High school diploma or equivalent general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience



Language:



  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals, and delivery orders.
  • Must be able to read, analyze and interpret general business, professional and technical documents, as well as government regulations.
  • Ability to write routine reports and correspondence.
  • Must be able to effectively present information prepared for a variety of audiences and groups.



Mathematical Skills



  • Must be able to add, subtract, multiply and divide figures as well as understand and calculate volume, weight and percentages and amounts such as discounts, interest, commissions, proportions, and percentages.



Reasoning Ability



  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.



Computer Skills



  • Intermediate proficiency in Microsoft office, including Word, Excel and Outlook



Certificates, Licenses, Registrations



  • Valid Driver's License is preferred, but not required.



Other Skills and Abilities



  • Driving or industry experience preferred
  • Read and interpret documents such as safety rules, operating and maintenance instructions, delivery orders and government regulations
  • Basic math skills, understand and calculate volume, weight and percentages
  • Basic computer skills



Work Environment:



  • Position is typically in an indoor, moderately quiet, temperature-controlled setting. Position may be asked to make some trips outside to inspect trucks, check loads, confer with drivers, visit worksites, etc.
  • May be working around moving mechanical parts, in high or precarious places, around fumes or airborne particles, and with potentially flammable chemicals.
  • Noise level will be generally moderate and occasionally loud.
  • Hours to be determined by location manager. There is an on-call component which requires 24/7 availability by phone as scheduled/necessary.

  • Crouching, kneeling, reaching and grasping objects
  • Walking: move about inside the office and/or branch facilities as well as airport/travel needs
  • Sit/Stand: Must be able to remain in a stationary position 50 percent of the time
  • Capable of traveling as required



Attendance Requirements: Attendance on a regular, consistent basis is mandatory, including arriving at the time as scheduled
