This position demands deep subject matter expertise in aviation records management, adherence to stringent regulatory standards (like those from the FAA and EASA), and a thorough understanding of operational workflows within the aviation industry.

Key Responsibilities

  • Leading and mentoring a team of records analysts, developing and implementing new processes to improve efficiency, and potentially managing the digitization of records.
  • Ensure all documentation adheres to regulatory requirements set by authorities such as the FAA or EASA and company policies. This involves conducting regular internal audits and preparing records for external inspections.
  • Manage baseline reviews and documentation for asset acquisitions, consignments, and overhauls.
  • Review marketing materials and mini packs for the sale of engines and modules.
  • Evaluate FAA Airworthiness Directives and OEM Service Bulletins for operational and financial impact.
  • Coordinate the production and delivery of records packages for leased or sold assets.
  • Identify and resolve discrepancies, missing documents, or inaccuracies in records and coordinate regular meetings to track progress with business partners.
  • Liaising with internal departments, external customers (airlines, lessors), vendors, and regulatory inspectors to address concerns and provide necessary documentation.
  • Maintain relationships with OEMs, MROs, leasing companies, and airlines to secure complete trace documentation.
  • Drive continuous improvement in records management tools, workflows, and compliance standards.
  • Ensure the accuracy, completeness, and integrity of the records and maintenance information.
  • Report department performance and compliance metrics to relevant internal stakeholders.

Qualifications

  • Associate's degree in aviation or related field; Bachelor's degree or FAA Airframe and Powerplant (A&P) license preferred.
  • Minimum 10 years of experience in aviation technical records, including 5+ years in a supervisory or managerial role.
  • Understanding of what is required to have complete "back-to-birth" traceability for life-limited parts (LLPs) and other critical components is a fundamental requirement.
  • Strong understanding of aviation MRO operations and documentation standards (e.g., 8130s, NIS, BTB, DFP).
  • Experience in airline, MRO, or leasing environments is highly desirable.
  • In-depth knowledge of aviation regulations (e.g., FAA FARs, EASA standards), maintenance procedures, and quality control processes is essential.
  • Proficiency in Microsoft Office Suite and records management systems.
  • Strong attention to detail, exceptional organizational and problem-solving skills, and effective communication abilities are critical for success. Proven leadership and cross-functional collaboration abilities.
  • Commitment to continuous improvement and operational excellence.
  • Ability to work independently, manage multiple projects, and work under pressure to meet tight deadlines.
  • Strong problem-solving, analytical, and communication (written and verbal) skills are essential.
  • Ability to work onsite at our facility in Fort Lauderdale.
