How your work would contribute to our organization and the Twin Cities region:
The Administrative Specialist in Environmental Services is the first point of contact for internal and external stakeholders. This position will help staff at the Regional Maintenance Facility and other internal stakeholders to more efficiently access information and process documents.

What you would do in this job
-
- Provide general administrative support such as checking in visitors, directing incoming calls, sorting and distributing mail, scheduling appointments
- Assist in planning department recognition events
- Coordinate conference registrations and travel arrangements
- Scan and save documents to document libraries and SharePoint
- Process invoices using Work and Asset Management (WAM) software and Trimble Unity Construct (TUC) software
- Collaborate with Accounts Payable staff to ensure timely processing and corrections
- Monitor and order office supplies, create internal memos, prepare letters and simple correspondence
- Create requisitions for purchase orders and pull purchase orders from contracts
- Utilize Adobe Sign to obtain required signatures on documents
- Provide backup for other staff and functions as needed

What education and experience are required for this job (minimum qualifications)

Any of the following combinations of education (in Business Administration, Public Administration, or a related field) and relevant experience:
- High school diploma/GED and two years of administrative experience
- Associate's degree or higher with no experience required
What additional skills and experience would be helpful in this job (desired qualifications):
- Experience with Oracle PeopleSoft or similar accounting systems
- Experience in budgeting and cost tracking
- Experience using Microsoft Office products (Word, Excel, PowerPoint, Outlook, Teams, etc.)
- Experience related to the procurement of goods and services
- Experience working with diverse populations of internal and external customers
What knowledge, skills, and abilities you should have within the first six months on the job:
- Knowledge of SharePoint and other Microsoft cloud-based systems
- Knowledge of asset management systems (WAM)
- Knowledge of Oracle PeopleSoft applications
- Knowledge of Project Management Information Systems (TUC)
- Ability to identify stakeholder concerns and accurately direct to the appropriate party
- Ability to adjust to changing priorities, work independently, and handle multiple tasks efficiently

Work Environment: Work is performed in a standard office setting. Some positions may require travel between primary work site and other sites. What steps the recruitment process involves:

If you are new to the Metropolitan Council, you must pass a drug test (safety-sensitive positions only), and a background check which verifies education, employment, and criminal history. A driving record check and/or physical may be conducted if applicable to the job. If you have a criminal conviction, you do not automatically fail. The Metropolitan Council considers felony, gross misdemeanor, and misdemeanor convictions on a case-by-case basis, based on whether they are related to the job and whether the candidate has demonstrated adequate rehabilitation.
