ARES is looking for an individual with experience in Event Coordination to join our team supporting the Orion Program on the Mission Technical Integration Contract at the Johnson Space Center. This is a temporary, entry-level position (start date January 2026). Primary responsibilities include:
- Assist in planning, organizing, and executing events and outreach activities that support program mission objectives and milestones, including development of event plans, agendas, timelines, and supporting documents.
- Coordinate event logistics such as venue preparation, audiovisual arrangements, on-site setup, attendee management, signage, and day-of-event support.
- Track invitations, RSVPs, attendee participation, and follow-up actions to maintain accurate engagement records.
- Coordinate participation of keynote speakers, panelists, subject-matter experts, and distinguished guests to ensure alignment with event objectives.
- Support media-related activities, including scheduling interviews, facilitating media briefings and video conference sessions, and ensuring use of approved content.
- Collaborate with program leadership to develop ideas for technical panel discussions, conference themes, and strategic messaging.
- Develop and refine technical documents and communication materials by gathering information, verifying content, and ensuring accuracy, clarity, and consistency with program standards.
- Perform additional duties as assigned.
Minimum Qualifications:
- Experience with event planning, conference logistics, or outreach coordination in a technical, government, or aerospace environment preferred.
- Demonstrated ability to plan, lead, and coordinate a wide range of tasks
- Self-starter who excels in a dynamic environment that requires him/her to work effectively both alone and as part of a team
- Working knowledge of the Adobe Creative suite.
- Portfolio will be evaluated on quality of freelance or past intern work only. Classwork will not be considered.
- Excellent communication (both verbal and written) and interpersonal skills.
- Strong organization skills, attention to detail and excellent follow-through skills.
- Demonstrated experience prioritizing multiple tasks with tight deadlines while coordinating with an internal and external network of affiliated/impacted contractors and civil servants.
- Strong problem-solving skills including the ability to quickly resolve technical mishaps or unforeseen events in meetings to minimize meeting down time and stress.
- Must be customer focused and can articulate and patiently instruct others (peers, managers, teammates, and customers) in relevant team processes.
- Experience working individually and actively participating on integrated teams.
Preferred Qualifications:
- Experience with Microsoft Suite to include Excel, PowerPoint, Word, SharePoint, and Microsoft Project.
- Ability to utilize meeting tools such as TEAMS, WebEx, etc.
- Familiarity with NASA, aerospace programs, or government communication standards is a plus. * Experience in document management and control.
Education:
- BA/BS Degree from an accredited college or university within the next 6 months in Communications, Public Relations, Marketing, Event Management or related field preferred.
- Preference is for 1-3 years of related experience.
