Posting Summary
Rutgers, The State University of New Jersey is seeking a Senior Program Administrator (Rutgers Community Arts) for Mason Gross School of the Arts ( MGSA). This position plays a key role in managing and coordinating community engagement and outreach activities, with a focus on both local and regional initiatives. Reporting directly to the Associate Dean for Finance & Administration, this position is responsible for developing and fostering partnerships with both internal and external stakeholders in support of recruitment, summer activities, P-12 engagement, and fundraising initiatives, among other schoolwide priorities.
Among the key duties of the position are the following:

  • Collaborates with MGSA leadership team, including deans, chairs/directors, and staff to ensure seamless coordination of community arts programs.
  • Leads in shaping and implementing innovative curriculum initiatives across a variety of art disciplines (music, theater, dance, art & design, filmmaking). Designs and/or manages the coordination of arts programs for a diverse audience, including Pre-K to 12th students, adult learners, and arts enthusiasts.
  • Oversees program assessment and accreditation processes for various programs to ensure quality and compliance with institutional standards.
  • Manages the administrative operation of the programs, including budgeting, staffing, and other logistical details.
  • Cultivates and maintains partnerships with external and internal constituents, including potential donors, community partners, and other stakeholders to support fundraising and external funding efforts and community outreach activities.

Minimum Education and Experience

  • Bachelor's degree in a relevant field and at least five (5) years of administrative experience in a community arts program or nonprofit organization or relevant program management experience.
  • Equivalent professional experience can also be considered if the candidate demonstrates a deep understanding of community arts programming and leadership.

  • Strong organizational skills and an ability to multitask in a fast-paced environment.
  • Deep understanding of the mission and goals of RCA, MGSA, and Rutgers University.
  • Ability to be a forward-thinking, results-oriented professional with a passion for the arts and community engagement, as well as a strong ability to create and implement programs that align with both educational and revenue-driven goals.
  • Strong communication skills, both verbal and written, to effectively engage with internal and external constituencies.

Preferred Qualifications

  • Master's degree.
  • Experience successfully generating revenue and/or raising funds through arts programs and/or non-profit organization.

Equipment Utilized

  • Several software applications in support of operations, including and not necessarily limited to, online payment, registration, and processing applications, Microsoft 365 Office Suite, Google Suite of applications, WordPress, and ArtSpace.
  • Will learn any software applications RU uses for expense management, procurement, time keeping, personnel appointments, payroll, grant submission, scheduling, facilities, event management, communications, website and social media maintenance and updates, and any and all equipment, software, and specialized materials needed to support the effective and efficient performance of this position.

Physical Demands and Work Environment
  • Must be able to operate effectively within a fast-paced environment, balancing the administrative demands of the position with the need to build relationships and represent RCA at external events.
Special Conditions

  • Frequent travel, particularly within New Jersey, to develop and maintain partnerships with community organizations, schools, and other stakeholders.
  • Must have fexibility with work hours, including evenings and weekends, to support events, performances, and community outreach efforts.
