POSITION SUMMARY
The Recruiting Coordinator plays a vital role in executing the organization's talent acquisition strategy. This position manages the full recruitment cycle from candidate sourcing through offer acceptance, ensuring a seamless and positive experience for both candidates and hiring managers. The Recruiting Coordinator partners closely with the HR team and department leaders to attract, evaluate, and secure top talent. KEY RESPONSIBILITIES
Talent Sourcing & Candidate Engagement
  • Proactively source and engage qualified candidates through multiple channels including job boards, social media, professional networks, and employee referrals
  • Build and maintain talent pipelines for current and future hiring needs
  • Develop relationships with educational institutions, professional organizations, and community groups to expand candidate reach
  • Represent the organization at career fairs, networking events, and recruiting functions
Recruitment Process Management
  • Screen applications in the applicant tracking system (ATS) and identify qualified candidates
  • Conduct initial phone screenings to assess candidate qualifications, interest, and cultural fit
  • Coordinate and schedule interviews between candidates and hiring managers, ensuring efficient communication throughout the process
  • Prepare detailed prescreening summaries and candidate assessments for hiring teams
  • Serve as the primary point of contact for candidates, providing timely updates and maintaining engagement
Job Posting & Employer Branding
  • Create compelling job advertisements and post across multiple platforms to maximize reach
  • Ensure job descriptions accurately reflect role requirements and company culture
  • Educate candidates on company benefits, culture, and career opportunities
Metrics & Reporting
  • Track and analyze key recruiting metrics including time-to-fill, time-to-hire, source of hire, and candidate conversion rates
  • Provide regular reporting and insights to improve recruitment effectiveness
Administrative & Team Support
  • Collaborate with the onboarding team to ensure smooth candidate transitions
  • Support employee recognition and appreciation initiatives
  • Maintain accurate and organized candidate records in the ATS
  • Perform additional duties as assigned to support HR and organizational goals
QUALIFICATIONS
Required:
  • Minimum 1 year of experience in recruiting, talent acquisition, or related HR function
  • Proficiency with applicant tracking systems and recruitment technology
  • Strong knowledge of sourcing techniques and recruitment platforms
  • Excellent written and verbal communication skills
  • Outstanding interpersonal skills with ability to build rapport quickly
  • High attention to detail and strong organizational abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Self-motivated with ability to manage multiple priorities independently
Preferred:
  • Associate's degree or higher in Human Resources, Business Administration, or related field
  • Experience with data-driven recruitment strategies
  • Familiarity with employment law and compliant hiring practices
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT
This position operates in a professional office environment with the following requirements:
  • Prolonged periods of sitting at a desk and working on a computer
  • Occasional bending, stooping, and stretching
  • Manual dexterity to operate standard office equipment (keyboard, phone, copier, etc.)
  • Visual acuity for reading documents and computer screens
  • Hearing ability for phone and in-person communications
  • Ability to remain composed and effective in fast-paced, deadline-driven situations

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
