What the day will look like.

We are seeking an Executive Assistant to join our Finance Organization in New York City, working directly with the global Head of Investor Relations and Treasurer. You will be responsible for maintaining dynamic calendars, coordinating department operations and managing various projects for ongoing department initiatives.

You will play an integral role in ensuring the smooth operation of our teams. Each day, you'll orchestrate complex meeting schedules for both internal and external partners, skillfully handling logistics across time zones and adapting quickly to constantly evolving priorities. Your expertise will shine as you arrange travel-often international-using our corporate systems and collaborate directly with vendors, confidently handling last-minute changes and ensuring everything runs without a hitch. You'll be entrusted with handling department expense accounts, guaranteeing timely payments and financial accuracy through our financial software. Your ability to balance calendars and respond promptly to meeting requests will help keep our leadership connected and focused.

How this opportunity is different
In addition to providing high-level administrative and project management support for Board Meetings, Aon Executive Committee meetings, and other initiatives, you'll implement strategic action plans to drive timely project delivery. Collaboration is at the heart of this role, as you'll work closely with colleagues across Finance and the Executive Committee, proactively seeking answers, leveraging internal resources, and sharing insights to benefit the team. You'll also coordinate logistics for investor events both in our New York City headquarters and at locations nationwide. Skills and experience that will lead to success

  • Extensive experience (7+ years) providing support to C-suite executives, with a background in Investor Relations preferred.
  • Exceptional ability to strategically prioritize and handle multiple competing demands in a fast-paced and evolving professional environment.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint, with a proven track record of using technology to enhance efficiency.
  • Demonstrated success working effectively within a highly matrixed organization, collaborating across teams and departments.
  • Highly self-motivated, consistently identifying and pursuing opportunities for process improvement and operational excellence.
  • Exhibits outstanding discretion and sound judgment when engaging with senior leaders, team members, and external partners.
  • Maintains the strictest confidentiality, with the ability to safeguard sensitive financial, legal, and business information.
  • Superior written and verbal communication skills, including meticulous proofreading and attention to detail.
  • Strong organizational and critical thinking skills, adept at resolving problems and facilitating solutions.

Education: Bachelor's degree or equivalent experience.

Pay Transparency Laws:
The salary range for this position (intended for U.S. applicants) is $95,000 to $105,000 annually. The actual salary will vary based on applicant's education, experience, skills, and abilities, as well as internal equity and alignment with market data. The salary may also be adjusted based on applicant's geographic location.

The salary range reflected is based on a primary work location of New York City, New York. The actual salary may vary for applicants in a different geographic location.
