Capture Coordinator

KeyLogic is seeking a highly organized, detail-oriented Capture Coordinator to support our business development and capture management activities across multiple federal markets. This role plays a critical part in helping the company win new business by ensuring that our capture processes are disciplined, coordinated, and executed with excellence. The Capture Coordinator works closely with Capture Managers, Segment Leads, Proposal Managers, and Capability Leads to maintain capture documentation, track progress, manage communications, and ensure that all capture milestones and deliverables are completed on time.

Position Responsibilities:

  • Capture Process Support
    • Maintain capture plans, schedules, action trackers, and progress reports.
    • Support the execution of capture processes such as SWOTs, call plans, competitive analysis, Black Hat reviews, and price-to-win inputs.
    • Ensure opportunities progress through gated reviews with complete and accurate documentation.
  • Pipeline and CRM Management
    • Update and maintain opportunity records in the CRM system.
    • Track and capture stage gates, dates, and status changes, ensuring data accuracy.
    • Produce weekly and monthly capture activity dashboards for leadership.
  • Meeting an Communication Coordination
    • Schedule and facilitate internal capture meetings, partner engagements, and customer prep sessions.
    • Document meeting notes, decisions, risks, and action items.
    • Serve as a communication hub among BD, capture, proposal, capabilities, and pricing teams.
  • Document and Knowledge Management
    • Organize capture artifacts, competitive intel, partner materials, and customer insights.
    • Manage version control for capture deliverables and internal reviews.
    • Assist with formatting, structuring, and preparing early capture documents (e.g. storyboards, RFIs, responses to Sources Sought).
  • Transition to Proposal
    • Support the handoff from capture to proposal teams following RFP release.
    • Help schedule color team reviews and coordinate writers, reviewers, and SMEs.
    • Ensure alignment between capture strategy and proposal development.

Position Requirements:

  • Bachelor's Degree
  • 2-5 years of professional experience in federal contracting, business development, capture, or project coordination
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple tasks in a deadline-driven environment
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint)
  • Experience using CRM tools (Salesforce, GovWin, HubSpot, or similar)
  • Experience supporting captures in federal markets (DOE, DoD, DHS, EPA, etc.)
  • Familiarity with Shipley or similar capture processes
  • Exposure to proposal development workflows
  • Understanding of federal acquisition processes (FAR, procurement cycles)
