Job Summary: The Parks Office Assistant III is located at Parks Administration building. This role will rotate at the front desk to interface directly with phone inquiries, email inquiries, walk-in traffic, and staff to clearly communicate Parks information. The Office Assistant III will provide consistent, reliable support in responding to public inquiries, manage the waiting area, greet and support visitors, answer the general office phone line, respond or direct calls to appropriate staff, and perform general office duties and special projects as assigned. This position will also provide administrative and clerical support for the park operations and golf divisions including assisting with daily office operations, data entry, scheduling and coordination of program and facility needs including ordering and tracking budgets. The Office Assistant III works closely with park operations, golf course management teams, and field staff to ensure efficient park and golf operations. This role also serves as the City Works Coordinator for Park and Golf Operations to ensure smooth long-term operations. Candidates must be able to work Monday-Friday, 8am to 4pm, with occasional overtime as needed. This position is remote/tele-work eligible up to one day a week.



Essential Responsibilities:



  • Provide reliable receptionist services as the primary contact at the Parks front desk. Greet and support visitors and walk-ins. Answer phone calls during business hours and appropriately direct calls to relevant staff. Manage the Parks answering system. Professionally address public inquiries through timely responses. Support consistent and clear messaging of Parks information.
  • Expeditiously respond to emails and intake, sort, and distribute daily office mail and packages, including dock deliveries.
  • Support Parks staff in disseminating relevant Parks information through the Parks website, County website, and Intranet. Maintain awareness of appropriate content.
  • Perform office duties as assigned including copying, laminating, ordering supplies, and printing. Maintain and keep the office supplies stocked and maintain the copy room and lobby.
  • Coordinate reports, prepare organization charts and graphs, and develop and maintain reception procedures and practices. Support Parks staff on special projects as requested.
  • Maintain digital communications logs and relevant files for future reference. Work closely with Parks staff to ensure that public responses and interactions are professional, accurate, and timely. Support Parks staff with the management of digital and paper files as requested.
  • Coordinate special projects such as Combined Giving Campaign, employee gatherings, and events. Process community donation requests and manage inventory of uniforms.
  • Work directly with Golf and Park Operations Managers and staff to purchase office and facility materials, track the delivery of products, process vendor payments, and maintain an inventory of supplies at each of the facilities. Provide support in the day-to-day responsibilities of the field staff.
  • Provide and prepare proper paperwork for seasonal park workers. Support managers with hiring of seasonal staff, including tracking status of new hires and rehires, and following up with HR team and management if employees have not completed all required employment paperwork. Work closely with HR to ensure all required hiring forms are completed properly by employees.
  • Attend new seasonal employee orientation during peak hiring season. Aid with completion of employee I-9s. Support managers with completion of proper offboarding paperwork for seasonal employees. Ensure confidentially of employee files and paperwork. Assist managers with reviewing and tracking seasonal employee's payroll and timesheets.
  • Perform all other duties as assigned.



Minimum Requirements:



  • Current resident of Wisconsin.
  • Possession of a valid Wisconsin Driver's License, able to be maintained throughout employment.
  • Possession of a High School Diploma or GED equivalent.
  • At least two (2) years of Administrative experience.
  • Intermediate knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Teams.
  • Intermediate knowledge of Infor (purchasing system) and CityWorks/Issue Reporter (work order systems).
  • Intermediate knowledge of phone answering systems with voicemail trees.
  • Intermediate knowledge of the internet and intranet.


Preferred Qualifications:



  • Possession of an Associate Degree.
  • Reception experience for a public organization.
  • Comfort, ease, and a positive approach in public and staff communications.
  • Bilingual in Spanish.
