Clerical Specialist


Department of Health & Human Services


Hourly Range: $16.70 - $25.05



Job Summary: The Clerical Specialist will support the Coordinated Entry operations within Housing Services by managing the 24/7 hotline, walk-in process, and cross departmental collaboration. This position must thrive in a fast-paced and service-driven environment. Must be comfortable balancing administrative tasks with client interaction, demonstrating professionalism, patience, and culture.



Job Responsibilities:



  • Serve as the first point of contact for individuals seeking housing assistance through the Coordinated Entry hotline or in-person visits. Respond promptly and compassionately to phone calls, voicemails, and walk-in inquiries. Provide information on resources/eligibility.
  • Document all client interactions, referrals, and outcomes accurately in the Homeless Management Information System (HMIS) and internal tracking tools. Schedule assessments, appointments, and follow-up calls to ensure timely access to housing and supportive services.
  • Perform data entry, filing, and case note updates to maintain organized and confidential client records.
  • Monitor and maintain copiers, change toner, add paper, and call for service when needed.
  • Perform all other duties as assigned.



Minimum Requirements:



  • Current resident of the State of Wisconsin
  • High School Diploma or GED equivalent
  • At least three (3) years of clerical and/or administrative experience
  • Intermediate knowledge of all related computer and software applications, such as word processing, databases, and spreadsheets.
  • Proficient at using general office equipment including a multi-line phone, copier, fax, printer, and scanner.
  • Able to lift, carry, push, pull up to 50lbs on a regular basis



Required Skills and Abilities: Be a team player, with the ability to work harmoniously and effectively with co-workers and external contacts; oral and written communication skills. The position will have frequent contact with professionals across other departments and external entities to gather and/or give information in a confidential manner. Must have the ability to read, write, comprehend, and analyze documents, routine reports, and correspondences; proficient with word processing, data entry, and speak effectively before both internal and external groups.
