The Operations Manager directly supports theSenior EventProducer of VidCon Anaheim as their number two and can step in as a decision maker when needed. This role directly manages and/or supports key aspects of the event operations from planning to onsite execution. Primary Job Functions:
- Manage temporary event staff throughout the entire process, including hiring, booking travel and accommodations, and managing both pre-event and on-site training.
- Manage event-wide accessibility by partnering with all teams toidentifyaccessibility needs and oversee hiring of those services.
- Manage food and beverage, furniture, and internet orders across the event.
- Manage the on-sitestaffoffice needs including ordering supplies, supply runs, bulk printing, and managing the office assistant.
- Manage radio & key orders for on-site event staff and vendors
- Manageall signage with show decorator - liaise internally on signage needs and copy & work with show decorator on printing and placement on site
- Manage all Expo Hall load-in/out, builds, and show day executions.
- Assistin building Sponsor Guidelines to reflect all operational rules across the venue,GSCand other applicable vendors.
- Manage design, planning and execution for VidCon produced activations across the event and be the main point of contact for activationslocatedin Halls A-D to ensure smooth onsite execution.
- Support in attendee Merch ordering and merch booth design through GSC
- Support Executive Producer in preparation and execution of the event budget, space usage, overall schedule, vendor & supplier selection, onsite staffingplanand production schedule.
- Support Executive Producer in and have knowledge of GSCscope of work, budget, event-wide needs, placing orders, floor-plan updates,communicationand on-site management.
- Support Executive Producer in and have knowledge of all agreements and conversations with vendors, suppliers, and event partners.
- Support Executive Producer in managing hotel relationships, room block contracts and room assignments for staff and vendors.
- Support Executive Producer on budget coding and invoicing to manage the budget spreadsheetcontainingindividual invoice records for tracking payments.
- Manage budgets for VidCon software accounts and subscriptions, as well asmaintaininginternal records of accounts and completing detailed expense reports for subscriptions.
