POSITION TITLE:

Women, Infants, and Children Program Assistant (WIC)

POSITION SUMMARY:

Responsible for providing clerical and clinic support functions for the WIC program. Will perform varied clerical, typing, and word processing. Execute clerical duties to maintain program records and reports: answer department telephones and client inquiries.

POSITION-SPECIFIC COMPETENCIES/ESSENTIAL FUNCTIONS/DUTIES & RESPONSIBILITIES:


  • Perform general client intake/registration efficiently and promptly, ensuring standard processing time frames are completed within 10 minutes for initial certification and 5 minutes for mid-certification.
  • Complete appropriate client record forms.
  • Answer phone lines with proper greetings and within established departmental telephone service levels.
  • Acknowledge and provide a welcoming greeting to all clients and visitors upon entry to the WIC department.
  • Maintain the filing system for the program and file documents appropriately.
  • Participate in WIC clinic team meetings to assist in quality assurance initiatives.
  • Disseminate a variety of referrals and relevant service information within the scope of practice.
  • Make copies of documents and distribute them as appropriate.
  • Mail correspondence as assigned.
  • Perform data entry of immunization records.
  • Complete weekly assigned clerical reports related to caseload management, which may include missed appointments, benefit no-shows, benefit issuance reminders, and unscheduled mid-certification or recertification appointments.
  • Assist in maintaining the cleanliness of the office environment.
  • Accurately enter WIC lead billing data into the MHSI CHC patient registration tab as assigned with <3% error.
  • Perform other job-related duties as may be assigned.

POSITION REQUIREMENTS:

Education: High school graduate or equivalent.

Experience: Experience in an office or healthcare setting with at least one year of on-the-job training in a clinic or physician's office preferred.

Expertise: Knowledge of general office practices and procedures. Ability to type 35-45 wpm accurately, and knowledge of using essential office equipment such as fax machine, postage machine, and copier. Ability to work well with multi-disciplinary and multi-cultural staff and groups. Possess excellent written and verbal communication skills. Must have basic computer skills. Ability to respond positively to flexible and changing work schedules and environments. Ability to work with minimal supervision. Must be able to provide safe, efficient, and effective care. Previous skills and a particular interest in children are a plus. Ability to work in a team environment. Able to fulfill physical demands of the job, sensory demands (seeing and hearing), and cognitive demands (concentration, conceptualization, memorization).

Language: Comprehend and use primary written or spoken language to communicate information and ideals.

Hours of Work: May vary based on organizational need.

Travel: May vary based on organizational need.
