Rutgers, The State University of New Jersey is seeking an Operations Manager and Sr. Executive Associate Supervisor for the Provost & Executive Vice Chancellor for Academic Affairs. Reporting directly to the provost, the Operations Manager and Sr. Executive Associate Supervisor manages the daily operations of the Rutgers-New Brunswick Office of the Provost, including the public-facing office, and provides strategic operational oversight and direction to ensure the successful communication and implementation of all policies, procedures, initiatives, and executive functions for which the provost's office is responsible, including but not limited to research strategy and support, curricular innovation and approval, oversight of Rutgers-New Brunswick schools and colleges, academic affairs, and faculty affairs, encompassing key aspects of appointment, promotion, and tenure. The position provides Project Management support to multiple projects in various stages, providing periodic oral and written updates to the senior leadership team and ensures that projects remain on time and on task.
Among the key duties of the position are the following:
- Oversees the work of two administrative assistants.
- Leads the coordination and cross-office collaboration of the entire provost's office administrative support team.
- Develops and implements strategies to improve operational efficiency, policy compliance, and outcomes of campus-wide strategic initiatives led by the provost's office.
- Manages the administration of the provost's office, including calendar management, travel arrangements, budget preparation, event planning, establishment and maintenance of record management systems, and meeting briefings, agenda preparation, and note-taking.
- Drafts and/or writes and sends out important communications on behalf of the provost to deans, faculty, and other university stakeholders.
- Provides strategic direction and support to the provost and vice provosts, helping ensure adherence to university policies, collective bargaining agreements, and best practices overall within higher education administration.
- Manages and oversees key projects and initiatives led out of the provost's office, often with campus- or university-wide implications and extending to a wide range of key university stakeholders, including, but not limited to faculty, staff, students, alumni, donors, legislators, community and business leaders, and members of the Boards of Governors and Trustees.
- Acts as the primary point of contact on behalf of the provost's office for key internal and external constituencies, working in close collaboration with the chancellor's administrative support team and requiring frequent communication with high-level university leadership as well as major university stakeholders.
- Works in collaboration with the Vice Provost for Academic Affairs.
- Provides administrative support for appointment, promotion, and tenure processes overseen in the provost's office, including but not limited to processing, proofreading, and communicating in relation to all non-tenure-track promotion cases as well as certain key aspects of tenure-track promotion cases and academic approval processes.
- Provides analysis and comprehensive reports with regard to various academic and/or policy issues as they arise, including issues related to collective negotiations.
- Accompanies the provost to events on and off campus.

Qualifications
Minimum Education and Experience |
- Bachelor's degree and 5 years of office administration experience or an equivalent combination of education and/or experience.

- Strong computer skills.

Preferred Qualifications |
- Graduate degree with demonstrated managerial and/or supervisory responsibility.
- 2-3 years of prior supervisory experience.
- Proficiency in financial, travel, and HR systems used at Rutgers University, including PeopleSoft, Salesforce, and Concur.
- Experience working in a higher education setting.
