Job Description

This role is based in our New York, NY office.

The Legal & Governance team at Informa is seeking an intelligent, organized, and energetic Team Assistant based in our New York City office to provide direct support to the legal team the United States. In addition, this role will involve providing some limited administrative support to the global Head of Compliance (based in London), all which can be handled virtually. The Team Assistant will work closely with the Executive Assistants, who support other L&G functions, to successfully achieve the goals of the wider team.

The ideal candidate must be adaptable, well organized, able to work independently, and enjoy the challenge of supporting a team of diverse colleagues and programs. The ability to interact with all levels of the organization, sometimes under pressure, while maintaining a high level of professionalism and confidentiality is key to the role.

A successful Team Assistant will demonstrate strong written and communication skills, good decision-making ability, and attention to detail while approaching their role flexibly, proactively and resourcefully. The Team Assistant must be hardworking, team oriented, and enthusiastic with a "can do" attitude. More specifically, the role will involve:

  • Managing the processing of invoices and payment requests
  • Filing all legal team mail and distribute to the appropriate stakeholders internally
  • Managing expenses across two different online systems (UK & US) - training will be provided
  • Having demonstrable calendar management skills, including the ability to coordinate meetings across multiple time-zones
  • Booking domestic and international travel, accommodation and visa arrangements
  • Arranging both internal and external meetings and, when required, collating and issuing agendas, booking meeting rooms and also arranging social functions for the team
  • Formatting and editing legal documents and helping prepare presentation materials
  • Onboarding new colleagues within the team
  • IT admin/maintenance
Qualifications
  • Experience supporting senior individuals and/or teams within a large organization
  • Positive and energetic personality
  • Good communication and organizational skills
  • Ability to multi-task and prioritize
  • The ability to maintain confidentiality and professionalism
  • Internet and technologically savvy with a proficiency in Microsoft Office, especially Outlook, Teams, PowerPoint and Excel

The salary range for this position is $50k-$75k / annually based on experience.
