Hourly Pay Range:

$30.46 - $45.69 - The hourly pay rate offered is determined by a candidate's expertise and years of experience, among other factors.

Position Highlights:

  • Position: Executive Assistant III

  • Location: Arlington Heights, IL

  • Full Time/Part time: Full time, 40 hours/week

  • Hours: 8am - 4:30pm, Monday - Friday

  • Required Travel: No

What you will do:

  • Performs a wide range of administrative duties designed to facilitate and expedite the accomplishment of the executive's responsibilities. Maintains regular communication with other divisions and departments throughout the corporation, as needed, in order to ensure efficient processing of work, obtain and relay information and resolve problems. Responds to a variety of inquiries, from inside and outside the organization, which require considerable knowledge about the Hospital's policies, procedures, and operations. Maintains records of decisions made and/or actions taken; initiates follow-up with other concerned parties, and independently prepares summaries and reports for executive review. Assists in the preparation of high level administrative reports; performs difficult and/or confidential information gathering and compilation of data for presentations, reports, committees and some Board related activities as requested.
  • Assists the executive in organizing day-to-day administrative activities and establishing priorities; performs various administrative support functions including screening calls and visitors, arranging meetings and conferences; completing travel arrangements and maintaining personal calendars. Tactfully handles callers or walk-ins on sensitive customer complaints and directs the caller to the appropriate hospital representative. Independently plans, organizes, and implements office practices and procedures, such as the setup and maintenance of filing and record-keeping systems.
  • Completes a wide variety of typing and word processing assignments, such as important and confidential correspondence, records, tables, and charts. Prepares and distributes memos initiated by the Vice President; proofreads and edits draft and final copy materials for appropriate and consistent format, accuracy of financial figures or other data, and correct punctuation, spelling, and grammar
  • Prepares, maintains, and processes a variety of records and logs. Compares information or data with other records for purposes of verification and accuracy.
  • Maintains knowledge of work performed by other Executive Assistants in department and can assist in their absence or with their workload when required.

What you will need:

  • High school diploma or equivalent including course work in word processing, office machines, office practices. Some general business college level coursework preferred.
  • Minimum of three years of progressively responsible secretarial experience.
