UREC is a Health & Well-being department within the Student Affairs division. The mission of UREC is to promote and advance healthy lifestyles through educational programs, participation opportunities and supportive services. Duties and Responsibilities: The UREC Office Manager manages the procurement process for two departments, UREC and Well Dukes; including ordering, entering into eVA (Electronic Virginia) and receiving of purchases. Supports the UREC director and assists with projects. Supervises the office and related areas/workrooms and manages a staff of 2-3 student office assistants.
- Procurement Specialist: Initiates and coordinates all departmental procurement processes, receives order forms, enters purchases into eVA, calls in orders, and receives orders when they arrive. Works with staff and vendors to ensure compliance with JMU procurement policies.
- Administrative Assistant to the Director: Supports the director with projects, manages the calendar and makes room reservations as needed. Handles routine correspondence and shares routine divisional information intended to reach the entire department.
- Office Manager: Procures and distributes office supplies and materials for the UREC and WellDukes teams. Manages the contract for the main office copier/printer/ FAX/Scanner. Manages all UREC landline phones with JMU Telecomm. Manages the shared spaces in the office suite including the two conference rooms, kitchen and copy room.
- Student Supervisor: Recruits, hires, trains and supervises a staff of 2-3 office assistants who work the front desk and support the fiscal/procurement operations. Provides daily work assignments and follows up any issues in a timely manner.
- Teammate and Colleague: Participates fully as part of the UREC team and serves on departmental/divisional committees as assigned. Maintains good relationships with appropriate peers including those within the AVP for Health and Wellbeing and VP for Student Affairs offices.
Qualifications: Required:
- Relevant experience in an administrative role
- Demonstrated ability to be highly organized, efficient, and show attention to detail
- Ability to utilize Microsoft Outlook/Teams, and university systems effectively
- Effective interpersonal and communication skills
Additional Considerations:
- Demonstrated ability to take initiative to develop and maintain task lists and project timelines
- Experience with the eVA Procurement system
- Experience managing a supervisor's calendar and scheduling group meetings
- Experience in training or supervising others
- Ability to work collaboratively within a team of all backgrounds and maintain strong relationships across the university and with vendors
