Overview

Administrative Assistant

Location: Javon Bea Hospital - Rockford, IL

Shift: Monday to Friday (8:00A- 4:30P)

Hours: 40 hours per week

Are you a highly organized professional who thrives in a fast-paced, collaborative environment? As an Administrative Assistant supporting Mercyhealth's Executive Offices, you'll play a key role in keeping daily operations running smoothly. Working under the guidance of assigned Vice President(s), you'll provide responsive, high-quality administrative support and contribute to the success of our leadership team.

Requirements:

  • High school diploma or equivalent required.
  • Completion of an Administrative Assistant or related college degree program preferred.
  • Minimum of five (5) to seven (7) years of experience providing administrative support required.
  • Experience in an executive office environment preferred.
  • Administrative Assistant certification preferred.
  • Notary Public of Illinois required within six (6) months of hire.
  • Strong organizational and time management skills with the ability to manage multiple priorities.

  • Excellent written and verbal communication skills.

  • Proficiency with Microsoft Office Suite and other relevant software applications.

  • Proven ability to handle confidential information with discretion.

  • Professional demeanor and strong interpersonal skills, with the ability to interact effectively with all levels of leadership and staff.

Responsibilities:

  • Prepare and manage confidential correspondence, reports, presentations, and meeting materials.

  • Coordinate calendars, schedule meetings, prepare agendas, and arrange logistics for events and travel.

  • Greet and assist visitors, manage calls, and provide professional administrative support to executives.

  • Maintain organized filing systems (electronic and hard copy) and handle incoming and outgoing mail.

  • Support Vice President(s) during absences to ensure continuity of operations.

  • Order and maintain office supplies and assist with special projects.

  • Promote a professional, team-oriented, and customer-focused work environment.

  • Assist with executive and Board of Directors support as needed.
