UCI Graduate Division provides leadership on all graduate education matters. We work with all academic units on campus to ensure that scholars from all over the world can learn, teach, and conduct the highest caliber research while pursuing graduate or postdoctoral training. We promote academic integrity and greater understanding by supplying information, guidance, and support to the campus community and beyond. The Graduate Division coordinates with other Graduate Divisions across the UC system to ensure high quality educational experiences and promotion of graduate education system and state-wide.


Your Role on the Team

Applies professional student services concepts. Provides varied student services to students, faculty, and department / school / college management. Works on moderately complex issues. Receives assistance on more complex issues. Provides a cross-functional understanding between the Academic Services, Graduate Admission, and Graduate Division Front Desk Teams by providing comprehensive operational and administrative support. Responds to faculty, staff, students, and visitors who contact the Graduate Division looking for information and guidance with a variety of matters related to general UCI inquiries, academic policy, graduate admissions requirements, current student status, and procedures. The position requires strong organizational skills, attention to detail, and the ability to manage sensitive student information in compliance with FERPA and university policies.


What It Takes to be Successful

Required:

  • Knowledge of advising and counseling techniques.
  • Ability to multi-task; verbal and written communication skills.
  • Interpersonal skills.
  • Multicultural competencies; ability to work with diverse populations.
  • Ability in problem identification and reasoning.
  • Skills in service orientation, organization, active listening, and critical thinking.
  • Understanding of University rules and regulations including FERPA.
  • Communicates with and maintains a high level of professionalism in handling sensitive student information, ensuring confidentiality.
  • Bachelor's degree in related area and / or equivalent experience / training.
  • 1-3 years Office Experience

Preferred:

  • Knowledge of multiple University-specific computer application programs and pertinent databases such as Docusign, Slate, ServiceNow, Enrolled Database, Student Billing System (SBS), GradAid, Kuali Financial System (KFS), and WebAdmin to support daily operations, improve workflows, and ensure efficient service to students and academic programs.
  • Knowledge of UCI Graduate Division processes and procedures.

Special Conditions:

  • May need to work some nights/weekends for special projects.

The expected pay range for this recruitment is $26.53- $31.13 (Hourly).
