Pay From:
$38 per hour

MUST:

Provide support to 1-2 senior leaders CEO & COO anticipating needs, protecting their time, and supporting with key strategic initiatives.

Microsoft Outlook- well versed.

Strengthen executive prioritization by tracking tasks and follow up

Serve as a gatekeeper supporting high-profile key relationships and communications with internal and external partners

Coordinate calendars across multiple parties and time zones, proactively integrating priorities of senior leaders

Ensure leaders are well prepared for meetings and travel (e.g., research, logistics, travel arrangements, visa information, etc.)

Act as the central point of contact for the CEO's office, screening and prioritizing inquiries.

Maintain organized records, documents, and files in compliance with governance standards.

Partner with the COO and other executive office team members to ensure smooth operating routines.

Continuously improve administrative processes to enhance effectiveness and streamline workflows.

Provide backup coverage for the HR Manager

DUTIES: Executive Assistant to support the Executive Team

This individual will serve as the central point of coordination for executive operations - ensuring priorities are managed, communication flows smoothly, and the office operates with professionalism and structure.

You will anticipate their needs, protect their time, support strategic initiatives and/or special projects.

This will include ownership of our visitor management processes, vendor and building partnerships, and supporting facilities operations. Manage the planning and execution of both onsite and offsite gatherings/events.

This role will require excellent strategic thinking, organization, communications and project management skills, coupled with a high-level of sound judgment and professionalism.

Proactive problem solver and self-starter: able to bring calm and clarity to complex situations, propose solutions, and take initiative without waiting to be asked

Partner with operations and HR functions to ensure smooth day-to-day office operations.

Assist with expense reports, reimbursements, and related administrative workflows for the executive team.

Coordinate travel logistics, itineraries, and related documentation for domestic and international trips.
