Oversees and coordinates the department's administrative functions, including director support, administrative documentation, stakeholder communications, and the management of service requests, recurring projects, and knowledge management and workflow systems to ensure efficient operations.

Essential Duties
-
Coordinate efficient office operations by providing timely customer service, prioritizing departmental communications including email and website updates, tracking budgets, processing purchases, coordinating travel, maintaining the office calendar, and scheduling and organizing meetings, workshops, or trainings.
Provide direct administrative support to the director and other leadership, as delegated, by coordinating and following up on special projects or requests.
Manage the service request system and process, including assignments, status updates, documentation, knowledge management, completion tracking, system report generation, and continuous improvements to workflow systems.
Support functions related to assessment and survey administration by coordinating or serving as backup for processes such as course evaluations and institutional surveys. Provide training and user support for related systems and processes.
Complete service requests within scope of responsibility, including running standard reports, disseminating existing data, and responding to basic data requests in a timely manner.
Participate in planning and executing departmental or college-wide special projects and events. Serve on task forces and committees as a member or in a support capacity.
Provide supervision and oversight of part time student workers as needed, including task assignments and ongoing support.

Minimum Qualifications
-
Bachelor's degree in Business Administration, Project Management, Information Systems, Communications, Higher Education Leadership, Social Sciences, or a related field. Degree requirement may be substituted with equivalent work experience.
One year demonstrated experience coordinating operations in a high-volume office environment, including working collaboratively across departments.
Commitment to providing excellent and timely customer service.
Strong interpersonal, analytical, and organizational skills with the ability to manage multiple priorities.

Preferred Qualifications

Technical aptitude, including learning and supporting software systems and workflow tools and ability to troubleshoot and resolve issues.
Experience working in higher education or familiarity with higher education processes and systems.
Project Management Professional, Certified Associate in Project Mangement, Agile Certified Practitioner, and Certified Administrative Professional certifications.
