- Prepare correspondence, forms, files, and reports using MS Word and Excel.
- Handle inquiries, manage documentation, and operate standard office equipment.
- Perform administrative and clerical duties as required.
Key Duties & Responsibilities
- Greet and assist office visitors per established procedures.
- Answer phones, provide basic information, and redirect calls as needed.
- File and retrieve materials following proper classification systems.
- Receive, open, date-stamp, and distribute mail, messages, and packages.
- Scan and index documents into Captiva system by type and category.
- Review documents, forms, and correspondence for completeness and accuracy.
- Maintain logs, spreadsheets, and records using standard procedures.
- Operate office equipment (printers, copiers, fax, postage machines, etc.).
- Create letters, emails, spreadsheets, charts, and reports using computer applications.
- Compile and submit reports; manage email communications.
- Order and maintain office supplies; track inventory.
- Support scheduling, coordination of breaks, coverage, and workflow.
- Contribute to developing performance standards and operational procedures.
- Collaborate effectively in a team environment.
- Perform other related administrative duties as assigned.
Required Qualifications
- Strong understanding of office procedures, laws, rules, and policies.
- Proficiency in MS Word and Excel.
- Excellent verbal and written communication skills.
- Attention to detail; ability to work with names, numbers, and codes accurately.
- Strong organizational and record-keeping abilities.
- Ability to follow oral and written instructions.
- Professional, tactful, and courteous in a fast-paced environment.
- Skilled in using general office equipment.
- Sound judgment and reliability.
- Ability to lift at least 35 pounds.
Knowledge Gained on the Job
- In-depth knowledge of agency-specific laws, policies, and procedures.
- Familiarity with agency forms and proper telephone handling protocols
Minimum Entrance Requirements
- Must have 3 years of full-time (or equivalent part-time) office experience.
- Equivalent combinations of experience and education may be accepted.
Substitutions:
- 1 year may be substituted with a commercial/business high school diploma.
- 8 months may be substituted with a general high school diploma or GED.
- 1 year may be substituted with a one-year post-secondary business/secretarial program.
- 2 years may be substituted with a two-year post-secondary business/secretarial program.
- Education toward these programs is prorated based on completion.
