About the Job

CTS is seeking an Inventory Specialist to manage the secure receipt, storage, and tracking of all CTS equipment purchases. This position is responsible for maintaining accurate inventory records, conducting regular counts, and processing all receiving in the inventory system. The Inventory Specialist will work closely with vendors on returns and deliveries, ensure equipment is organized and properly labeled, and recommend improvements to optimize stockroom operations. By monitoring stock levels and coordinating with the Procurement Specialist, this role helps prevent shortages and keeps projects on track. This is a full-time, on-campus position supporting CTS's in-person AV services.

Essential Job Functions

Receiving and Inventory Control: (45%)

  • Physically receive and check in all incoming inventory and special orders into the stockroom and the inventory software system.
  • Check incoming products to verify they meet technical specification guidelines.
  • Control the inventory and stock flow with the appropriate transactions for tracking.
  • Perform physical inventory cycle counts and reconcile to the electronic counts reflected in inventory software.
  • Control and track all paperwork associated with receiving and inventory dispensing, and ensure information is stored electronically.
  • Maintain par levels on all inventory SKUs and work with the Procurement Specialist to electronically reorder inventory to replenish stock levels on a timely basis to meet installation requirements.
  • Maintain and adjust as necessary the stockroom layout to maintain security, access, and organization of all inventory items.
  • Review incoming products to ensure that they meet specifications and reject any products not meeting established standards.
  • Coordinate the delivery of equipment from U Stores and U Market to various locations on the Twin Cities campus to meet installation deadlines.
  • Ensure that the inventory room and the parts within are controlled and disbursed only with the proper procedures being completed.
  • Check and verify all outgoing parts requests for proper inventory name and quantity.
  • Responsible for the establishment, inventory control, security, set up and management of all satellite warehouse locations during high-volume installation periods for CTS.

Administrative: (35%)

  • Responsible for the accurate and timely electronic entry of data information into the inventory software daily.
  • Complete and submit accurate timecards and bookings based on time spent on individual assignments.
  • Create and submit for approval all electronic purchase requests as necessary to maintain inventory par levels to meet installation requirements.
  • Recommend and follow up to ensure that all new inventory parts are added properly on a timely basis to all necessary CTS systems.
  • Make recommendations to executive management on new equipment purchases.

Other: (20%)

  • Work with the CTS Business Office on processes involving receiving, inventory levels, mid-year and end-of-year inventory counts, and evaluations
  • Capital asset tagging, reporting, and audits as required
  • Assist other technicians and departmental personnel as necessary to achieve established departmental goals.
  • Assist as directed with the sales and marketing of the CTS department.
  • All other duties as assigned by management.
  • Responsible for the safe and efficient operation of all CTS departmental vehicles as needed to meet departmental goals.
  • Operate vehicles through heavy metropolitan vehicular and pedestrian traffic.
  • Deliver University employees, equipment, and materials to and from job sites.
  • Operate all vehicles according to all State of Minnesota, U of M, Fleet Services, and CTS driving policies and procedures.

Qualifications

Required Qualifications

  • A bachelor's degree in a related field or a combination of education and related work experience and knowledge to equal four years may be substituted.
  • Proven experience in inventory management, preferably within the AV or related industry.
  • Familiarity with various types of AV equipment (e.g., projectors, sound systems, cameras, lighting), bulk wire types and their standard installation procedures.
  • Proficiency in inventory management software and databases
  • Excellent organizational and time management skills, with a keen eye for detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong communication and interpersonal skills.
  • Basic technical and troubleshooting skills related to AV equipment are a plus.
  • Ability to maintain detailed records of purchasing, receiving and disbursement of all inventory items purchased.
  • Ability to maintain security control of all inventory items purchased.
  • Familiarity with a variety of the field's concepts, practices, and procedures involved with inventory operations.
  • Ability to routinely lift 50 pounds regularly.

Preferred Qualifications (Core Competencies)

  • One to five year's knowledge in the area of inventory control duties.
  • The ability to ensure compliance with established internal inventory control procedures.
  • Able to rely on experience and judgment to plan and accomplish goals within deadlines.
  • Experience with Microsoft Dynamics 365 and Business Central software and processes associated with inventory barcoding.
  • Able to perform a variety of complicated tasks involved with inventory.
  • A certain degree of creativity, flexibility, and initiative

Pay and Benefits

Pay Range: $50,084 - $52,652; depending on education/qualifications/experience
