Performs a variety of duties to assist in the efficient administration of databases that support departmental functions. Performs related duties to facilitate the efficient utilization of computer-based information and to assist in the administration of associated departmental procedures and processes. This position is responsible for patient flow through the survey room, patient data entry and completion of required survey data at critical time points during the patient care continuum
I. Major Responsibilities:1. Creates/updates databases as assigned to support departmental processes, functions, and projects. 2. Ensures the timely and accurate input and maintenance of all data elements for assigned databases.3. Collection, documentation and tracking of mandatory CMS required Total Hip and Total Knee Replacement PROMs Performance Measure preoperatively and postoperatively.4. Oversees overall input and maintenance of the registry database.5. Assists patients in the direct entry of survey data into the patient registry system.6. Assists in monitoring patients on research protocols to ensure that appropriate surveys have been collected at critical time periods.7. Compiles and maintains a variety of computer-based and manual statistical and financial reports. Maintains and adheres to schedules for their timely production.8. Develops new database reports based on general instructions and data output specifications.9. Creates new tables and forms. Writes basic to advanced queries, and uses procedures to rename, update and append queries. Tests new database applications and reports for quality and accuracy. 10. Maintains knowledge of database structure and hierarchy. 11. Develops and maintains procedures and documented workflows for database reporting duties, to ensure the confidentiality, integrity, and currency of data.12. Identifies and recommends opportunities to optimize the efficiency and functionality of assigned databases and associated departmental processes.13. Works with I.S. staff to optimize the capabilities of assigned databases. Coordinates with I.S. staff to assure appropriate database backup and retention, as well as potential archiving and purging.14. May perform a variety of administrative support duties that may include arranging meetings and conferences, and scheduling appointments. May prepare and produce a variety of correspondence and reports. May perform a variety of related clerical support duties, such as Xeroxing, filing, faxing, arranging and retrieving documents files and reports, preparing correspondence, relaying phone messages and mail, etc.15. Maintains filing systems. Standard Staffing Level Responsibilities: 1. Complies with established departmental policies, procedures, and objectives.2. Attends variety of meetings, conferences, seminars as required or directed.3. Demonstrates use of Quality Improvement in daily operations.4. Complies with all health and safety regulations and requirements.5. Respects diverse views and approaches, demonstrates Standards of Respect, and contributes to creating and maintaining an environment of professionalism, tolerance, civility and acceptance toward all employees, patients and visitors.6. Maintains regular, reliable, and predictable attendance.7. Performs other similar and related duties as required or directed.All responsibilities are essential job functions. II. Position Qualifications: License/Certification/Education:Required:1. One year of specialized education or training in business procedures and relevant applications software and 2-3 years of relevant experience. Experience/Skills:Required:1. Thorough working knowledge of database administration procedures.2. Must be able to utilizes a basic working knowledge of the functions of the department in the design, maintenance, and use of assigned databases. 3. Good working knowledge of a variety of business applications software packages with particular proficiency in database software such as Access. 4. Excellent communications and work planning skills. Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents. III. Physical Demands and Environmental Conditions:Work is considered sedentary. Position requires work indoors in a normal office environment.
