Duties and Responsibilities
- Create and distribute the daily route sheets
- Review data from the vehicle tracking devices and report findings to route manager
- A full range of moderate to complex clerical assignments involving the use of judgment and discretion
- Respond to inquiries from customers and potential customers for the trap businesses
- Set up shipping manifests and communicate with shipping companies on incoming and outgoing freight
- Answer phone, dispatch customer calls to drivers and schedule service technicians
- Assign and record or stamp identification numbers or codes in order to index materials for filing
- Find and retrieve information from files in response to requests from authorized users
- Keep records of materials filed or removed, using logbooks or computers
- Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information
- Scan and file documents electronically on the company computer network
- Data entry into various computer systems
- Create bill of ladings for all sales while following the companies procedures and policies
- Weigh all trucks as a certified weigh master
- Coordinate finish product loads with plant manager to ensure all material is sent out timely and according to contract
- Enter trap routes into the CSS; then enter into raw material report
- Interact with others in a professional and ethical manner
- Follow department and company procedures
- Keep up regular attendance and punctuality; regular attendance and punctuality are essential for the smooth operation of this company
- Other duties as assigned for the purpose of ensuring the efficient and effective operation of the business. These responsibilities may change from time to time are business needs evolve over time.
Requirements
- High school diploma or equivalent
- 1 year of experience in an office setting
- Ability to follow oral and written directions to complete assigned tasks
- Ability to perform multiple tasks and work well with others
- Must have good customer service and communication skills
- Must be able to work effectively as a flexible team player within our small office
- Must be able to type 45+ wpm and have 10-key data entry skills
- Proficiency with Word, Excel and Outlook (or similar email software application)
- Less than 5% travel requirement
Physical Requirements: Constantly (over 2/3):
- Operates computer and other office productivity machinery such as calculator, copy machine and printer.
- Remain in a stationary position for 50% or more of the time
- Ability to complete tasks under time pressure with constant interruptions
- Review documents, organizes data and detects accuracy of information
Frequently (1/3-2/3):
- Moves throughout office accessing files, office machinery, etc.
- Communicates with co-workers and customers and exchanges accurate information in-person, telephonically and via electronic devices/e-mail
Occasionally (under 1/3):
- Moves materials or documents up to 25 lbs
