Job Description

The Conference Support Specialist plays a key role in creating a welcoming and seamless experience for campus and community partners utilizing UMKC's auxiliary meeting venues and residential accommodations. This position coordinates the logistics of conferences, events, and summer programs-ensuring that housing, dining, recreation, and related services are delivered with excellence. Serving as a central point of contact, the specialist supports UMKC's mission of fostering student success and community engagement through outstanding event and guest services.

Key Responsibilities
  • Coordinate all aspects of conference and event operations, including reservations, agendas, schematics, and logistical schedules for year-round and summer programming.
  • Serve as the primary customer service representative for clients, facilitating access to housing, dining, recreation, meeting space, parking, ID card services, and information resources.
  • Effectively utilize event management and university software systems to track and deliver conference details.
  • Draft and process facility use agreements, permits, sponsorship acknowledgments, and other contractual documents in alignment with UMKC Business Services policies and municipal requirements.
  • Prepare and issue accurate invoices for internal and external clients.
  • Maintain strong communication with campus partners and clients to ensure a positive, professional experience.
Minimum Qualifications

  • Bachelor's degree or an equivalent combination of education and related experience.
  • At least two years of experience in a role requiring strong organizational, coordination, or customer service skills.
Preferred Qualifications

  • Experience in conference services, student unions, hospitality, or related fields.
  • Ability to work independently, manage multiple priorities, and demonstrate initiative.
  • Strong analytical skills, attention to detail, and a solutions-oriented approach.
  • Comprehensive understanding of event and conference management processes and systems.
  • Proficiency in applying best practices to ensure smooth coordination of services.
  • Strong interpersonal and communication skills with a customer-focused mindset.
Anticipated Hiring Range

Starts at $18.87 - $20.00 per hour commensurate with experience, education, and internal equity.
