Overview

Our long-term client relationship with NASA has led to a need for an Administrative Assistant on the Mission Technical Integration Contract (MTIC) contract at Johnson Space Center (Houston, TX). This role will provide Administrative support to the Program Management Office (PMO).

Responsibilities

The Administrative Assistant will:

    Provides both routine & non-routine administrative support to management, work team and/or department, handling high volume of competing administrative task requests (via multiple clients) that require professional discernment on appropriate urgency/prioritization to complete
  • Management of travel arrangements and timely filing of expense reports
  • Provide calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders throughout the organization
  • Support assigned group with meeting support (book conference rooms, set-up Teams, open agenda and drive through meeting documents/slides alongside the speakers)
  • Provide support to the team with various projects, including compilation and formatting of documents, with the ability to balance multiple projects at a time
  • Perform other administrative duties related to the group management, managing technical and facilities related issues, ordering office supplies, tracking budgets, and other tasks, as needed
  • Proactively coordinate the onboarding/offboarding/transfers/desk moves of employees within the organization with multiple stakeholders
  • Responsible for managing badges for employees in close coordination with our NASA partners
  • Plans, schedules and coordinates off-site meetings and events (manage day-of support mechanisms where applicable)
  • A "Self-starter" mindset that takes initiative to continuously improve processes for ongoing effectiveness of the department and the organization as a whole
  • Take on special projects and regularly interacts with internal and external contacts to coordinate department/manager business needs


Qualifications

Required Education/Experience/Skills:

  • H.S.Diploma, Asociate's Degree with 3 - 5 years of relevant work experience
  • Bachelors Degree with 2 - 4 years of relevant work experience
  • Intermediate knowledge of Microsoft Office Suite (i.e. PowerPoint, Word, Excel, and shared collaborative tools such as SharePoint and/or OneDrive for Office 365)
  • Comfortable in learning new technologies as to become proficient in desktop systems/internal software necessary to successfully perform assigned tasks. May be asked to become departmental "expert" and/or "trainer" in specified software platforms
  • Knowledge and application of travel booking and expense management platforms
  • Demonstrates understanding of company policies and procedures and their application and impact on company operations and success
  • Nice to have; beginner to Intermediate knowledge of Power Automate, BI and MS Forms
  • Polished, professional and service-oriented demeanor at all times
  • Clarified and confident ethical standards that guide decision making in ambiguous circumstances
  • Comfort functioning in a role that requires a high degree of flexibility where work is routine and non-routine in nature and is performed using individual discretion under minimal supervision (balanced with willingness to request clarification/assistance when difficulties arise)
  • Flexibility to take on a wide range of responsibilities to support assigned management/department
  • Aptitude for working in collaborative team environments with a focus on maturity, proactive communication, relationship building skills and resiliency
  • Curiosity and proactive learning mindset to support continuous growth both personally and for the business
  • Ability to manage multiple, concurrent tasks with the highest levels of professionalism, confidentiality, timely turn-around times with a focus on exceptional client service
  • Strong communication skills, verbal and written

Essential Requirements:

  • Must be a U.S. Citizen and successfully complete a U.S. government background investigation

  • Work may involve sitting for extended periods
  • May require lifting and carrying up to 25 lbs
  • Must have sufficient mobility to enter areas of test facilities where necessary

  • Standard office equipment (PC, telephone, fax, etc.)
  • Regular attendance in accordance with established work schedule is critical
  • Ability to work outside normal schedule and adjust schedule to meet peak periods and surge requirements when required
  • Must be able to work in a team atmosphere
  • Must put forward a professional behavior that enhances productivity and promotes teamwork and cooperation
  • Grooming and dress must be appropriate for the position and must not impose a safety risk/hazard to the employee or others
  • This position may require some commuting and traveling to other installations as needed
