Purpose

The Home to Texas Senior Administrative Program Coordinator supports the daily operations, undergraduate student advising, and program logistics for the Home to Texas program under Career Success at The University of Texas at Austin. This position ensures seamless recruitment, selection, pre-departure preparation, enrollment coordination, ongoing student program support, and will build and sustain community and employer partnerships. This position will advance UT Austin's commitment to connecting students with their hometown and preparing the next generation of community leaders.

Responsibilities
  • Program Operations & Execution: Ensure each phase and process of the Home to Texas program lifecycle is on time and on budget. Maintain program tracker to ensure visibility of key activities (e.g., recruitment progress) to the Director and other key constituents. Collaborate with staff, faculty, career services offices, campus partners, and community liaisons to spread awareness of the program and engage new host communities. Supervise student staff and graduate assistants to support the Home to Texas program. Work closely with the Director to expand stewardship of community partnerships and internship placements. Manage student records, course enrollment, and scholarship processing in collaboration with Central Business Services, Registrar's Office, and Office of Scholarships & Financial Aid. Serve as the primary contact for student, employer, and community inquiries and day-to-day program needs.

  • Recruitment, Outreach, and Admissions: Execute annual recruitment and outreach strategy in collaboration with the Director, engaging students, employers, and community partners across Texas. Promote program awareness and expand access to opportunities in rural and small-town communities through targeted outreach, presentations, and relationship-building efforts. Coordinate all aspects of the application and interview process, ensuring accurate communication, timely updates, and consistent experience for all stakeholders. Recruit and organize application reviewers and interviewers, and oversee interview logistics, including scheduling, room reservations, and reviewer assignments. Maintain organized and detailed program documentation, including application tracking, review records, and complex Excel files used for selection and reporting. Facilitate application preparation workshops, information sessions, and professional development programming for student applicants. Monitor recruitment and admissions timelines, ensuring all stakeholders meet deadlines and processes align with program goals and growth targets. Collaborate with campus, employer, and community partners to share program impact and support ongoing recruitment efforts.

  • Student Career Development & Support: Deliver professional development and internship preparation within the Home to Texas course in coordination with the Faculty Advisor. Provide one-on-one and small group advising to support students with the Home to Texas application process, including interview preparation. Offer pre-departure and ongoing support for Home to Texas students, including professional communication, workplace expectations, and career readiness. Assist with alumni engagement efforts and help facilitate networking between past and current participants.

  • Community & Employer Partnerships: Build and sustain targeted relationships with community liaisons, chambers of commerce, and employer partners informed by the community engagement strategy set by the Director. Support partnership stewardship, track engagement data, and assist with developing new internship opportunities in rural and small-town Texas communities. Maintain consistent communication with community and employer partners to ensure strong collaboration and high-quality experiences for students and host sites. Develop and manage employer and community partnerships to support and expand high-impact experiences for students and host sites. Coordinate and participate in virtual and in-person events for program participants within communities across Texas.

  • Event Coordination: Plan and coordinate annual Home to Texas events, including cohort welcome receptions, application preparation sessions, and interview readiness workshops. Organize and attend community celebrations and gatherings that highlight the program's impact and the connection between UT Austin and participating Texas communities. Support program sendoffs, reunions, and other events to maintain ongoing engagement with students, alumni, and participating communities.

  • Assessment, Reporting, and Data Management: Collect and maintain data on applicants, community placements, internship outcomes, and program alumni for reporting and program evaluation. Generate reports and materials for leadership and campus stakeholders to highlight program outcomes, community impact, and student success. Track alumni engagement and outcomes to support long-term networking, mentorship, and ongoing program visibility. Manage data collection process and program documentation to support continuous improvement and planning with Director. Assist in evaluating program processes and identifying opportunities to strengthen student, community, and employer experience and operational efficiency.

  • Professional Development & Program Representation: Represent Home to Texas at community and campus events, professional meetings, and conferences to promote program visibility and support engagement.

Required Qualifications

Bachelor's degree and three years of experience coordinating or administering a program or, Master's degree and one year of experience coordinating or administering a program. At least three years of experience working with college students. Ability to work collaboratively and maintain a professional demeanor. Demonstrated ability to interact professionally with faculty, staff, students, employers, and the public. Excellent verbal and written communication skills to communicate effectively across multiple audiences. Strong organizational and project-management skills, including the ability to manage multiple stakeholders, selection processes, and deadlines. Experience collecting, tracking, and analyzing data using Excel or similar tools. Independent decision-making and problem-solving ability. Must be flexible and willing to take on new responsibilities

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience with internship and/or work-based learning programs, data collection, and an understanding of barriers impacting student participation. Experience in community engagement or community relations, particularly with city, county, or nonprofit partners. Strong interpersonal skills, especially in relationship-building with external stakeholders. Prior experience with Canva or other digital communications tools. Familiarity with J-1, F-1, OPT/CPT processes

Salary Range

$66,000+ depending on qualifications
