Join Our Team as a Business Area Executive Assistant at Epiroc!

The Business Area Executive Assistant supports two Business Area Presidents and two Vice President Controllers by managing critical administrative functions and enabling them to focus on strategic priorities. This role requires strong organizational, communication, and problem-solving skills, with an emphasis on anticipating needs, driving efficiency, and ensuring alignment across teams. The Executive Assistant acts as a trusted partner, maintaining professionalism, discretion, and adaptability in a dynamic, future-focused environment.

KEY RESPONSIBILITIES



  • Provide high-level administrative assistance to the Division President and leadership team, mail inbox management including calendar management, travel coordination, and document preparation.
  • Coordinate, schedule, and prepare materials for division and cross-functional meetings; ensure agendas are aligned to priorities and that discussions remain focused and productive.
  • Timely document preparation in collaboration with management team members.
  • Capture key decisions, assign action items, and track progress to completion. Ensure accountability and timely updates to leadership.
  • Serve as a central point of contact for internal and external stakeholders; draft, edit, and distribute executive-level correspondence and presentations.
  • Liaison with communications team for events, presentations, interviews, investor meetings, and customer engagements.
  • Streamline administrative processes, identify opportunities for continuous improvement, and proactively implement solutions that enhance efficiency.
  • Handle sensitive information with discretion and maintain a high degree of trustworthiness.



QUALIFICATIONS



  • Associate's degree required; Bachelor's degree preferred.
  • Minimum of 5+ years of administrative experience supporting senior leaders, preferably in a global or industrial organization.
  • Proven ability to manage complex calendars, priorities, and projects simultaneously.
  • Strong skills in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience with collaboration platforms (Teams, SharePoint, or similar).
  • Excellent written and verbal communication skills.
  • Demonstrated ability to think ahead, anticipate needs, and execute with precision.
  • Prior experience in the mining industry or other offshore business environments is preferred.
  • Flexibility to work outside regular time zones.
  • Occasional international travel required.
  • Strong verbal & written communication in English is a must.
  • Proficiency in Spanish or Swedish is considered an asset.
