Cost Control Administrator

Position Summary
We are seeking a Cost Control Administrator to join the cost management team on a large-scale project near Amarillo, Texas. This role will report to the Cost Director and will provide clerical and administrative support for cost control functions, working closely with project managers, cost engineers, and field teams. The Cost Control Administrator will play a key role in maintaining accurate project cost records, assisting with subcontractor cost proposals, and supporting reporting and forecasting activities. This is a fully onsite position.
Key Responsibilities
Track and follow up on required subcontractor cost proposals
Perform initial review of subcontractor proposals to ensure proper documentation, correct rates, and compliance with contract markups
Assist with maintenance of job cost reports, including budgets, commitments, forecasts, contingency, and spends
Track costs by bid package, field order, and change category as defined by the client
Support change management processes, including logs for work authorizations and contract modifications
Assist with preparation of monthly status reports, including executive cost summaries, cost indicators, and cash flow projections
Monitor and validate data requirements against established budgets and schedules
Write and publish meeting minutes, summarize quantities, and maintain orderly cost documentation
Maintain electronic cost information and status logs for tracking purposes
Collaborate with cost engineers and project managers to ensure accurate data entry and file maintenance
Qualifications
Education & Experience
High school diploma or GED required
Bachelor's degree in Accounting, Finance, or related field preferred (or equivalent work experience)
Previous experience supporting construction cost control or project administration preferred
Skills & Competencies
Proficiency with Microsoft Office 365 (Excel, Word, Outlook, PowerPoint, Teams)
Familiarity with CSI specification system preferred
Excellent organizational skills with strong attention to detail
Strong written and verbal communication skills
Ability to multitask and prioritize in a high-pressure environment
Team-oriented with patience, professionalism, and the ability to collaborate across departments and leadership levels
Physical & Work Environment Requirements
Combination of office-based and field activities
Ability to climb stairs occasionally (approx. 5% of workday)
Frequent use of hands for computer and document management
Strong vision, hearing, and communication abilities to perform job functions
Ability to lift or carry up to 25 lbs (minimal)
Frequent mental focus, attention to detail, and independent judgment required
