Job Overview
Responsible for the organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness and efficiency. Works directly with field management team to ensure daily, weekly, and monthly reporting is completed and distributed effectively. Supports the field staff in tracking certified payroll, regularly scheduled billing, and interacts with the procurement staff to ensure subcontracts and all project acquisitions are completed in a timely manner. Responsibilities
Essential Duties & Job Functions:
- Performs and monitors clerical, administrative and secretarial responsibilities, and tasks.
- Daily interactions with the field management team.
- Daily interactions with the corporate procurement team.
- Daily interactions with subcontractors.
- Coordinates office activities to ensure maximum efficiency.
- Implements filing systems and ensure filing systems are maintained and current.
- Monitors record keeping.
- Ensures security and confidentiality of data.
- Ensures office policies and procedures are being adhered to.
- Implements procedural and policy changes to improve operational efficiency.
- Prepares operational reports.
- Monitors and maintains office supplies inventory.
- Handles customer inquiries and complaints.
- Reviews departmental time sheets.
- Confers with and advises other management personnel regarding policies and procedures.
- Keeps the Project Manager appraised of unique situations and problems encountered.
- Performs related work as assigned.
Accountable For:
- Effectively coordinating several projects simultaneously.
- Communicating effectively orally and in writing.
- Completing all mandated training requirements per government and management directives.
- Timely and cost-effective performance of duties.
- Dealing with a variety of people in a professional, courteous manner in diversified situations.
- Adherence to established company operating policies, procedures and accepted industrial practices.
- Compliance with company Standard Operating Procedures and Personnel policies and procedures.
- Embraces and contributes to the parent company's safety culture.
- Having the ability to work well under pressure.
Job Requirements
Mandatory:
- Five years' experience in related work.
- Skill in the use of Microsoft Excel and Word at an advanced level, and PowerPoint at a basic level.
- Must have excellent written and verbal communication skills.
- Valid state driver's license with an acceptable driving record.
- Ability to excel in a fast paced, professional construction environment.
- Ability to pass pre-hire background and drug screen.
- U.S. Citizenship.
- Ability to obtain access to federal government facility.
Working Conditions:
- Work is performed indoors.
- Mostly sedentary in nature.
- Subject to normal office environment noises.
Physical Requirements:
- Ability to use standard office equipment as may be required for the position (computer, phone, copy machine, hand-held radio, etc.)
- While performing duties of this job, the employee is occasionally required to stand and/or walk for long periods at a time, sit, use of hands and fingers, handle, or feel objects, tools, or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch or crawl, talk or hear, or smell.
- The employee must occasionally lift and/or move up to 25 pounds and follow safe lifting procedures.
- Specific vision abilities required by the job include close vision.
