Position Overview The Administrative Coordinator provides administrative support in a fast-paced environment by completing multiple reception and administrative tasks with competing deadlines, using extreme attention to detail and excellent communication skills. Anticipates the needs of team members and resolves administrative issues with calm and prioritized attention. Key Responsibilities
- Project a positive and hospitable image of McAdams to internal and external clients at all times and provide outstanding customer service by making clients feel welcomed and respected.
- Greet and assist colleagues, clients, and vendors; support meetings and troubleshoot conference room technology.
- Oversee the reception experience, ensuring all clients and visitors feel welcomed, respected, and valued.
- Oversee maintenance and presentation of reception and common areas, ensuring a clean and professional environment.
- Manage office, kitchen, and shipping supplies, and oversee incoming and outgoing parcels to support smooth operations.
- Coordinate with Marketing, Engagement, HR and other teams on employee events and Lunch + Learn sessions.
- Manage incoming and outgoing parcels.
- Maintain and manage conference room calendars, optimizing scheduling and utilization.
- Operate and maintain office printing, scanning, and large-format equipment; prepare and assemble plans and submittals.
- Type, proofread, and edit forms, letters, proposals, change orders, and other business correspondence.
- Perform additional duties as assigned to support overall office efficiency, professionalism, and team success.
Skills + Experience
- High school diploma
- Associate's degree OR relevant administrative work experience preferred
- Previous experience in a professional office setting preferred
- Must have a valid Driver's License or obtain one prior to the first day of employment
- Advanced knowledge and experience with MS Office Suite Administrative Coordinator
- Outstanding organizational and oral and written communication skills
- Extremely detail-oriented with strong writing, editing, and proofreading skills
- Proactive thinker with the ability to prioritize multiple competing deadlines
- Comfort with a fast-paced environment, necessitating professional, calm prioritization
