Position Purpose
To provide leadership, direction, and support, in coordination with the Admissions Director and Associate Dean of Admissions, to ensure proper admissions workflow. Oversees the admissions application software system, AMP. Applies a thorough understanding of the principles and practices of the admissions process, Geisel's mission, organizational administration, and statistical data to provide the necessary support to the Associate Dean of Admissions and Admissions Director. Collaborates with the Admissions team to improve the efficiency and effectiveness of Admissions operations. Works closely with counterparts across Geisel to continually review processes, identify opportunities for improvement and implement these changes. Manages all aspects of the application process which entails working with an applicant pool of over 8,000 students.

  • 3-5 years of relevant work experience in higher education administration, project management, database management, or operations management.
  • Excellent management, organizational, verbal and written communication and interpersonal skills.
  • Ability to work effectively, independently, and as a member of a team.
  • Ability to develop, execute, and enhance the admissions process.
  • Willingness and ability to exercise judgment and initiative and to interact with faculty, students, personnel, and outside agencies in a professional manner.

Preferred Qualifications

  • Master's Degree in a business discipline and 5-7 years of relevant work experience

Key Accountabilities


Description
Admissions Operations

  • Improve operational processes and systems to promote efficiency and enhance the admissions process.
  • Oversee the Geisel email account daily - responding to inquiries, delegating inquiries as appropriate, resolving complex inquiries, processing other updates and decisions that arrive via email.
  • Monitor and update the Office of Admissions website for accurate information and assist with creating and revising communications.
  • Manage applicant communications and data, ensuring proper, timely, and accurate information.
  • Oversee, update and manage all office procedures and manuals.
  • Annually, and as needed, make necessary changes and improvements in the Medical School Admissions Requirements through the AAMC.
  • Work closely with the Admissions Director to facilitate and organize the Dartmouth College Early Assurance Program application process.
  • Oversee Interview day, providing timely support to admissions team, admissions committee and applicants to solve any technical or scheduling difficulties, and interacting with applicants throughout interview day.
  • Support Admissions Committee throughout the admissions cycle; assist with their utilization of AMP, ensure committee meeting agendas are complete and applicant files are ready for review for each meeting, and prepare lists of accepted candidates.
  • Coordinate, along with the Admissions team, accepted student events. Facilitate the pre-matriculation process for incoming students, which includes working with the Office of Visa and Immigration Services (OVIS) to assist with the onboarding of international students.
  • Oversee records management in coordination with Admissions Director and Associate Dean.

Description
Application Database

  • Communicate with other Geisel and Dartmouth offices as appropriate to ensure data coordination in AMP, OVID and Banner.
  • Work with Data in OVIS and Banner to ensures entry, updates, and reviews are completed.
  • Liaise with AAMC, AMP and Geisel IT to ensure database integrity. Connect with AMP Technical Analyst regularly to continue to improve utilization of software and streamline the Admissions process.
  • Develop and implement changes in AMP as needed throughout the cycle and ensure content is updated between application cycles.
  • Work with the Geisel Financial Aid office to ensure award letters are uploaded in AMP.

Data Analysis and Reporting

  • Continuously provide statistical data regarding composition of class, applicant pool and other information needed for institutional reporting.
  • Design and distribute surveys for current applicants, admitted students, and matriculating students throughout the cycle to collect and analyze data to determine where improvements can be made.

  • Ensure compliance of Admissions policies and procedures, and assist in developing and implementing training for the admissions team.
  • Help lead an efficient and effective team by encouraging and helping foster a positive team-oriented work environment through effective communication and management.
  • Track all aspects of the Admissions process, notes areas for improvement, and ideas to be discussed at the Admissions annual retreat.
