Job Details:

Purpose

Seeking a candidate to be an integral part of the ARL HR Operations department of in the Applied Research Laboratories, in support of the recruiting team to fulfill ARL HR's recruiting strategy. The ARL HR Operations department operates in collaboration with the ARL HR Strategies department, and both departments report to ARL's Assistant Director, HR Programs and Strategic Communications. Applied Research Laboratories is a DoD University Affiliated Research Center at The University of Texas at Austin. We are located on the Pickle Research Campus in North Austin, and our Executive Director reports to the Vice President for Research, Scholarship and Creative Endeavors (VPRSCE). Through fundamental research, innovative science, and applied engineering, ARL:UT makes significant contributions in support of national security.

Responsibilities
  • Provide candidate support by communicating regarding application and position status. Work with hiring managers to coordinate interviews.

  • Facilitate the hiring process by assisting in the review of applications with a three day turnaround time (either from receipt of complete application or all required materials). This will include initial review of applications and assessing completeness and required materials, as well as declining unqualified applications and forwarding completed application packages to the hiring manager for review.

  • Providing logistical and planning support each semester for career fairs and recruiting events as planned by the HR Coordinator and Manager, HRO. This includes but will not be limited to registering for career fairs, corresponding with sponsoring organizations, maintaining a clean and organized storage space as well as adequate supply of swag, brochures and displays, and coordinating the shipping and logistics with both ARL Shipping and Receiving and event staff. Unpacking and organization of materials upon return to ARL.

  • Responsible for maintenance of the ARL HR Hiring Manager SharePoint site. This includes maintaining the schedule and reviewing, scanning and maintenance and/or data entry of resumes into the data base. During review of applications and data entry, will make note of any extra routing needed for resumes. Coordinate posting the schedule on ARL's internal and external website with the Strategic Communications Office.

  • Assist with gathering and reporting of recruiting costs as they are incurred in order to facilitate an easier reporting process during reporting of annual metrics.

  • Assist with the posting and opening activities for all positions. Posting positions on outside recruiting accounts including sites specified by the hiring manager or routine recruiting platforms like Indeed.

  • Attend local career fairs in support of ARL HR's overall recruiting strategy.

  • Other related functions as assigned.

Required Qualifications
  • High School graduation or GED.

  • Seven years of administrative experience including some related to recruiting and/or the functions of this position.

  • Strong skills in MS Office with a proven ability to use Excel and SharePoint

  • Proven ability to track, monitor and summarize information accurately and an in a manner that provides clear information for stakeholders and decision makers.

  • Evidence of meticulous attention to detail, and the ability to work both independently and as part of a team, and to transition effectively between key responsibility areas. Ability to remain calm under high pressure, maintain strict confidentiality, and demonstrate a balance of empathy with objectivity in emotionally charged situations.

  • Strong diagnostic and problem-solving skills, with the ability to provide multiple options for problem resolution. Ability to carefully intake a large amount of detailed information, in both verbal and written form, and summarize all important points in a clear manner in all training, correspondence and analysis. Ability to deliver results with little supervision, and effectively manage and prioritize multiple projects.

  • Highly skilled in tracking and prioritizing daily tasks in a rapidly changing environment that includes multiple critical deadlines.

  • Clear, professional, and collaborative communication, both written and verbal.

  • The interest and desire to be an integral part of the department, which must be demonstrated by understanding and evidence of excellent customer service and consistent professional interaction.

  • Relevant education and experience may be substituted as appropriate.

US Citizen. Applicant selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information at the level appropriate to the project requirements of the position.

Preferred Qualifications
  • Bachelor's degree in HR or related discipline.

  • Experience with Workday or other similar system.

  • Demonstrated ability to be able to adjust to workload and process large amounts of paperwork and on-line information in a short time period when necessary.

  • Knowledge of ARL and the organizational structure and mission.

Salary Range

$52,000-$58,000+/negotiable depending on qualifications.
