Secretary - Nursing (Fire Department)

STARTING PAY RATE: $21.82 - $24.32 per hour based on a 35-hour workweek. Salary dependent on qualifications. The salary range for this position is $21.82 - $31.81. This position is represented by a union; you may refer to the AFSCME collective bargaining agreement available on our website.



JOB SUMMARY:

The Nursing Division within the Fire Department is seeking a proactive, detail-oriented individual to join the team as a Secretary.This position provides support with a variety of clerical work and customer service duties for division personnel in addition to coordinating work and daily administrative activities. A major responsibility includes fulfilling all the tasks related to the Medical Equipment Lending Program. This position also serves as the recording secretary for the Health and Human Services Committee and as recording/advisory body secretary for the Board of Health, Public Health Advisor Committee, Blood Program Committee, Committee on Aging, as well as divisional staff meetings and other committees.



JOB DUTIES:



  1. Enters, tracks, and coordinates purchases for budget accounts and procurement cards. Reviews invoice requisitions and purchase orders for completeness, accuracy, and authorization before processing. Resolves purchasing and/or payment issues. Reviews accounts for discrepancies, processes payments, and completes registration forms for external events.
  2. Coordinates all aspects of the medical equipment lending program and may include the cleaning of equipment.
  3. Receives sharps containers filled with used needles from residents after verifying residency, and places in storage containers awaiting pickup from the medical waste company.
  4. Acts as an intermediary for staff and maintains frequent contact with the public and others. Screens calls and answers inquiries as appropriate.
  5. Prepares correspondence and other materials on a variety of general and technical topics with some being confidential in nature, including divisional financial, operational, monthly, and special reports.
  6. Assists division/department in preparation of division/department's fiscal year budget; monitors expenditures of the department in comparison with actual allotments; informs supervisor of possible overspending and makes suggestions on ways to avoid overspending. Contacts vendors regarding changes in pricing. Processes payments and completes registration forms for external events.
  7. Oversees the record retention activities for the division.
  8. Takes minutes at meetings and prepares agendas. Properly transcribes digital recordings of village meetings. Posts agendas and approved minutes through the village document management system.
  9. Coordinates division volunteers.
  10. Performs other duties as assigned.



QUALIFICATIONS:



  1. Education equivalent to a high school diploma.
  2. A minimum of one year of experience in an office as a secretary.
  3. Proficiency with current computer technology, job-specific software, and customer service systems.
