Pay: $57000 - $83200 / year (paid hourly)

Schedule: M - F; day shift

Location: San Jose, CA | Cisco campus

The Maintenance Coordinator plays a critical role in supporting JLL's Facilities Management and Engineering teams by overseeing the planning, scheduling, and coordination of all vendor-led maintenance activities across a multi-site portfolio. This position directly supports JLL's Asset Management initiative toward achieving a World Class Maintenance organization. Utilizing JLL's Computerized Maintenance Management System (CMMS), the Coordinator ensures that preventive and corrective maintenance tasks are properly assigned, executed, and documented to meet compliance standards and service level expectations. Acting as the primary liaison between vendors, facilities teams, and the client, this role is essential to driving operational excellence, system reliability, and high-quality service delivery.

What is your day to day?

  • Receive and process incoming work orders from the CMMS
  • Assess the scope of work and accurately determine what trade specific technician the work order should be assigned to
  • Receive and interpret technician feedback on work orders to determine how to advance work through to completion
  • Verify work order information for correctness, checking it against previously obtained information as required
  • Ensure data integrity of all work order information
  • Create weekly schedules for maintenance/engineering crews using Assignment Manager within the CMMS
  • Balance monthly preventive maintenance workload to labor availability
  • Prioritize and schedule all other maintenance requests based on client's needs
  • Facilitate weekly Planning and Scheduling meeting with maintenance team and managers
  • Work with Ops Manager to build a calendar for work requiring shutdowns
  • Create and run reports tracking work order status, material, etc.
  • Support work order completion and closeout to meet monthly metrics/SLA's
  • Dispatch emergency work requests
  • Main point of contact for work requests from the Service Center and route work orders accordingly

Desired experience and technical skills

  • 2+ years' experience scheduling and planning maintenance for large-scale, complex systems
  • Working knowledge of mechanical, electrical, and life safety monitoring and control systems
  • Experience with CMMS; Corrigo highly preferred
  • Customer service-oriented attitude with excellent verbal and written communication skills
  • Strong organizational, prioritization, and computer skills
  • Ability to multitask without direct supervision
  • Ability toto plan and manage work under time constraints

Estimated total compensation for this position:

57,000.00 - 83,200.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
