EnSafe is accepting applications for a full-time Corporate Services Manager for our wholly owned subsidiary called GR2. This position can be located at either our Memphis, TN, Jackson, MS, or Titusville, FL offices. (40 hours per week)

What We Are Looking For

We are seeking a Corporate Services Manager to join our administrative team, where organization, diligence, self-starting initiative, and the ability to thrive under tight deadlines are essential qualities. In addition to supporting our wholly owned subsidiary GR2, this role will support our Contracts and Risk Management Group in the role as backup Buyer. The role includes cross-functional responsibilities in procurement, project support, and compliance, requiring strong organizational and communication skills. The ideal candidate should highlight the ability to work autonomously and demonstrate self-motivation in a collaborative environment. Exceptional diligence, effective communication skills, and a comprehensive understanding of construction terminology are also preferred attributes.

What You Will Be Doing:

Purchasing and Vendor Management

  • Creating and processing purchase requisitions (PRs) and purchase orders (POs)
  • Drafting scopes of work for on-site services
  • Requesting and managing subcontractor and vendor documentation
  • Vetting and onboarding new vendors
  • Soliciting and evaluating Requests for Proposals (RFPs)
  • Maintaining PO records, updating compliance documents (e.g., Certificates of Insurance, safety documents), and managing change orders
  • Researching and reconciling vendor invoices and account statements

Administrative and Operational Support

  • Reconciling and processing weekly timesheets and expense reports
  • Managing corporate purchasing card transactions and monitoring usage
  • Attending internal project update meetings
  • Coordinating renewal of all business licenses and certifications (state, local, and specialty)
  • Validating vendor invoicing with purchasing agreements
  • Performing quality control assurance reviews for business documents
  • Coordinating aspects of corporate travel.

Project Coordination

  • Maintaining regular communication with project teams to address service or equipment needs
  • Providing on-site support for equipment issues and subcontractor coordination
  • Overseeing temporary employee timesheet processing
  • Coordinating and reconciling lodging accommodations for employees and temporary staff
  • Assisting with the project closeout activities, including cost reconciliation and billing support

Cross-Functional and Backup Support

  • Acting as backup for other company buyers when needed
  • Serving as a liaison for joint project ventures, handling procurement and limited project oversight for multiple business units

What You Will Need:

  • 5 years' experience required.
  • A bachelor's degree in business or a related field is preferred; high school diploma or GED and an additional five (5) years of related experience may be considered instead of the degree.
  • Experience in the environmental consulting and construction industries, as well as knowledge of the buying process, is desired.
  • Team-focused mindset, flexible and adaptive to client and internal project team needs.
