JOB SUMMARY
UTSW is seeking a Department Facilities Operations Analyst with excellent critical thinking and organizational skills to be used for the dynamic growing Department of Internal Medicine. This important role will manage renovation projects including writing scope of work, making AUTOCAD drawings for space planning, meeting facilities staff, telecom staff, and contractors on site to review progress, confirm scope of work, identify locations for telecom, identify staff locations for key and telecom access needs. Plans and implements departmental moves and relocations including furniture, equipment, telephones, etc.; coordinates with appropriate management in developing timelines and implementation procedures. Experience in the planning, coordinating and delivery of facilities functions preferred.

EXPERIENCE AND EDUCATION
Required



  • Education
    Bachelor's Degree in Business, management information systems, or related field


  • Experience
    1 year of applicable experience with Proficiency in MS Word, Excel, and Visio
    Experience may be considered in lieu of degree.


Preferred



  • Experience
    Experience in the planning, coordinating and delivery of facilities functions. Facilities experience should include familiarity with building maintenance, repairs, renovations, utility systems, housekeeping, security, safety, telecommunications, signage and key control. Experience in business operations, analysis or information systems.


JOB DUTIES



  • Maintains inventory control system for furniture and equipment, which includes the accountability, distribution, reallocation, transfer, turn-in, storage of furniture and equipment; maintains log of all capital equipment and ensures that all surplus property is removed from inventory and properly disposed of, will help aid in research lab clean and/or moves; reconciles any unallocated property and report to Inventory Control Office.
  • Analyzes and coordinates approval of departmental contracts for goods and services to ensure: (a) compliance with university and departmental policies and procedures; (b) thorough record-keeping; and (c) that business terms and conditions support favorable outcomes for the University.
  • Monitors departmental activities against multi-year strategic sourcing plan; recommends timelines for RFPs; assists departmental leadership with development of sourcing intake documents, including detailed scopes of work and comprehensive bidder questionnaires.
  • Develops and analyzes operational reports from the department's project management and/or request tracking system(s).
  • Monitors and tests existing operations activities processes to ensure completeness of the system of internal controls.
  • Documents business processes, identifies and presents operational process improvement opportunities to supervisor.
  • Develops, tests, and documents business improvement plans. Supports implementation.
  • Manages library of departmental standard operating procedures, which will include testing, completion of or coordination of updates, and creation of new SOPs to close gaps in documentation.
  • Creates and/or updates operational communications plans and training documentation.
  • Assists with coordinating multiple projects concurrently.
  • Assists or completes data collection, aggregation, and analysis.
  • Performs other duties as assigned.
