Job Description Human Resources Specialist: Office of Faculty Affairs
Primary Purpose of Position:
Office of Faculty Affairs (
OFA) supports the building of distinguished, strong faculties that foster a vibrant academic community. We seek a Human Resources Specialist to join our vibrant team and support all aspects of the faculty experience on campus, from recruitment through retirement and emeriti engagement. This position serves as a faculty HR representative for the College of Arts, Sciences, and Education (
CASBE), School of Health Sciences, College of Business and Entrepreneurship, and University College, and is the primary liaison for faculty concerns to the Office of the Provost and other campus offices. This position requires thorough knowledge of the multi-variable human resources and faculty appointments and credentialing process and demonstrating that knowledge by responding to complex questions by summarizing the pertinent issues and providing concise actionable answers to peers, academic administrators, faculty, and external partners. The Human Resources Specialist will provide training, and guidance to Department Chairs and Administrative Assistants, and assist them in their roles and tasks. The position serves as a reviewer and is the collegiate level approver on workflow transactions relating to faculty affairs.
Responsibilities
Advising/Communication
- Serve as Faculty HR Representative for all CASBE and University College faculty or assigned school/college.
- Initial point of contact and adviser to department Administrative Assistants, Chairs of Departments, and faculty members on procedural and/or process issues related to faculty HR related functions.
- Advise and train Chairs of Department and Administrative Assistants on HR policies, procedures, data entry, compliance monitoring, and other topics related to faculty.
- Partner with Office of Legal Affairs regarding faculty member's immigration situations.
- Create original communications to Chairs of Department and Administrative Assistants regarding faculty policies and procedures, interpretations, guidelines, practices, and deadlines.
- Participate in university-wide committees or task forces as requested.
- Establish and maintain productive and collaborative professional work relationships with faculty, staff, students, and the public.
Talent Acquisition & On-boarding
- Review and assist departments with the faculty recruitment process.
- Consult with departments, review, and edit recruitment plans and advertisements.
- Verify accuracy of faculty appointments before facilitating for Provost approval.
- Enter and track faculty appointment data in Banner HR. Review faculty HR process and suggest process improvement.
- Generate and review offer letters
- Assist with faculty orientation as requested.
Metrics and Data/Records Administration
- Review HRIS workflow transactions in PeopleAdmin for completeness and accuracy and approved at the organizational level. Processing transactions on time to meet payroll deadlines.
- Interpret policies/procedures to ensure accuracy and consistency of HR transactions by organizing and analyzing program information, data and/or financial information.
- Evaluate transactions based on policies/procedures to determine when review is required by Faculty Affairs Manager or the Provost.
- Provide rationale to departmental representatives when information submitted in HRIS is not accurate while providing excellent customer service.
- Extract data as requested for special projects or initiatives.
- Run standard or create special ad hoc reports as requested
- Accurate and timely processing of documents from the Office of Faculty Affairs and Office of the Provost.
Policies, Laws and Regulations
- Coordinate and manage the annual compliance of all faculty performance reviews and post-tenure reviews in CASBE and University College. Partner with departments to ensure reviews are properly uploaded into the Faculty Success system.
- Ensure all background checks and I-9 verifications are completed and meet standards.
Minimum Education/Experience:
- Bachelor's degree in business administration, public administration, or related business area. All degrees must be received from appropriately accredited institutions.
- 3-4 years of HR management or program experience.
- Experience providing consultation to business units regarding matters such as hiring, HRIS, HR processes and procedures
- Ability to prioritize concurrent projects under pressure of deadlines with consistent accuracy and attention to detail.
- Ability to handle confidential information responsibly.
- Demonstrated excellent oral and written communication skills.
- Demonstrated supervisory experience with a focus on developing and training staff.
Preferred Qualifications
- Preference for PHR (or above) certification or the ability to compete certification within first 24 months of employment
- Demonstrated excellence in written and verbal communication, ability to multi-task and exercise high degree of judgment in handling sensitive and confidential information.
- Proven administrative, organizational, interpersonal, and problem-solving skills.
- Expert knowledge of employment classifications, policies, procedures, and processes for faculty.
- Skilled with HR and Business systems, as well as Excel and data management systems.
- Higher education finance and personnel experience.
- Demonstrated experience working on collaborative projects and/or processes.
