Summary:

The Executive Assistant provides high-level administrative support to senior leaders at the Health Plan Alliance, enabling them to maximize their effectiveness and impact on customers. Operating within a fast-paced, mission-driven environment, this role ensures the smooth execution of daily priorities and serves as a key point of coordination for internal teams and external executive stakeholders.

This position requires exceptional professionalism, discretion, and independent judgment. The Executive Assistant handles complex and confidential matters, contributes to departmental initiatives, and helps foster a collaborative, organized, and customer-focused work environment. Responsibilities:

Executive Support & Schedule Management

  • Manage complex calendars and schedules, resolving conflicts and anticipating needs to maximize executive productivity.
  • Coordinate travel arrangements and prepare timely, accurate expense reports in accordance with Vizient policy.
  • Serve as a key point of contact for internal and external scheduling needs, ensuring alignment with strategic priorities.

Communication & Materials Preparation

  • Draft, edit, and organize executive-level communications, presentations, and other professional documents.
  • Manage communications with internal and external stakeholders, ensuring clarity and alignment with executive priorities.
  • Support leaders by reviewing content to ensure accuracy, consistency, and readiness for high-level meetings.

Meeting Support & Governance Facilitation

  • Coordinate all aspects of team, department, and governance-related meetings, including scheduling, materials preparation, and communications.
  • Attend and document governance meetings, capturing accurate and professional meeting minutes and tracking follow-up actions as directed by executive leadership.
  • Manage logistics for in-person and virtual gatherings, including room reservations, catering, and off-site dinner arrangements.
  • Serve as a central coordination point for high-level meetings involving internal leaders, board members, and external stakeholders.

Operational Efficiency & Special Projects

  • Build and maintain systems, workflows, and processes that improve day-to-day operations and efficiency.
  • Provide project-based support for departmental initiatives and confidential assignments requiring independent judgment.

Team & Culture Engagement

  • Coordinate team onboarding and employee engagement activities in collaboration with leadership and HR partners.
  • Cultivate strong relationships across the organization and represent the executive team with professionalism and discretion.

Qualifications

  • Relevant degree preferred.
  • 5 or more years of relevant experience in a corporate environment supporting senior leadership is required.
  • Strong project management skills and ability to balance multiple priorities with attention to detail.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Teams, Zoom).
  • Familiarity with Workday and Concur is a plus.
  • Sharp written and verbal communication skills.
  • Professional, can-do attitude, approach, and presence.
  • Strong organizational skills and detail orientation, with high self-direction and results-driven mindset.
  • Willingness to travel as needed.
  • The ideal candidate will join us in a hybrid workplace model based at our corporate office in Irving, TX.

Estimated Hiring Range:

At Vizient, we consider skills, experience, and organizational needs in our compensation approach. Geographic factors may adjust the range estimate and hires typically fall below the top range. Compensation decisions are tailored to individual circumstances. The current salary range for this role is $59,600.00 to $101,200.00.

This position is also incentive eligible.
