About the Role:

Responsible for supervising the Office Assistant staff, as well as overseeing the daily operations of office support functions, including beverage service, breakroom policies/procedures and supply management, office supply management, U.S. mail processing/distribution, and Service Now requests. This role ensures smooth workflow and a high-level quality of customer service.

Your Contributions:
  • Supervise Office Assistant staff members

  • Coordinate and monitor daily office operations, including beverage service, office supplies/equipment, breakroom supplies/equipment, mailboxes/signage/office supplies for new hires and separations, and U.S. Mail processing/distribution

  • Ensure consistent implementation of administrative and office procedures

  • Develop and maintain office workflow systems to improve efficiency and productivity

  • Handle vendor relationships related to office equipment/supplies and breakroom equipment/supplies and service providers

  • Monitor inventory levels and timely ordering of office and breakroom supplies

  • Oversee maintenance and repairs of breakroom equipment, as needed

  • Assistant with space planning, furniture and internal office moves, as requested

  • Ensure compliance with safety and security procedures within the office environment

  • Provide training, performance evaluations and guidance for Office Assistant staff

  • Collaborate with HR, IT and Operations staff on cross-functional projects and issues

  • Other duties as assigned

Requirements:
  • High School Diploma and 4+ years supervisory experience in an office environment OR

  • BS/BA degree in Business Administration or related field and 2+ years of supervisory experience in an office environment

  • Good understanding of how the team supports other departments and uses that knowledge to improve efficiency and provide high-quality customer service levels

  • Strong analytical and problem-solving skills, with a solid process and detail orientation

  • Knowledge of office services processes and cost-containment strategies

  • Strong interpersonal and supervisory skills

  • Demonstrated strong organizational and time management skills

  • Excellent communications skills

  • Proven ability to manage vendors

  • Computer proficiency with Microsoft Office Suite

  • Ability to maintain a valid driver's license

The hourly rate we reasonably expect to pay is $45.21-$63.88. Individual pay decisions depend on various factors, such as primary work location, complexity and responsibility of role, job duties/requirements, and relevant experience and skills. In addition, this position offers an annual bonus with a target of 20% of the earned base salary and eligibility to participate in our equity based long term incentive program. Benefits offered include a retirement savings plan (with company match), paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
