About the Job

Position Description:
The Department Administrator provides a wide range of high-level administrative leadership, supervision and support to the Department of Restorative Sciences. This position is the primary administrative contact for the department and manages the day-to-day operational, business, and financial activities in a way that is consistent with the priorities established by the Department Chair. They work on the continuous improvement of service delivery to academic divisions and develop processes to support change. This position requires excellent communication and interpersonal skills and knowledge of School and University policies and procedures.

40% Department Supervision

  • Directs and coordinates the administrative services and support for department faculty, including balancing staff workloads as needed to ensure deadlines are being met
  • Collaborate with department leadership to assess skill and capability gaps within the division support and coordinate with peers on possible group training initiatives. Plans and facilitates team-building activities, training and learning opportunities
  • Incorporates new approaches, innovations, and continuous performance improvement amongst departmental staff and provides feedback both individually and at a team level
  • Mentors and coaches staff in effective business relations, established practices, and professionalism. Identify needs and implement touch bases with administrators and assistants who need additional support.
  • Promotes collaboration among division administrators within and outside the department. Encourages employee engagement and creates a culture of a positive, respectful, productive work environment through leadership and communication skills
  • Sets priorities and goals for staff through university engagement, continuing education, and skill development
  • Supervises staff on financial transactions, reconciliation of purchasing cards, and laboratory, clinic, and office purchases
  • Continue to develop, build and maintain the Restorative Google shared drives
  • Partners with Department Administrators, HR, Finance, Clinical Systems and other cross- functional teams to continue evolving training materials/workshops, etc. to help support teams
  • Identifies and proposes solutions when/where communication breakdowns may be happening across the administrative and/or faculty teams. Identifies culture and communication improvement opportunities

35% Administrative Management

  • Organizes, leads, and directs multiple projects throughout the Department. In partnership with the Chair, implements strategies and coordinates with the administrative team to achieve departmental goals and objectives. Create timelines, monitor workflows and assigns aspects of projects from inception to completion
  • Participates in the department's strategic planning process; supports the development of new initiatives and realignment of existing programs through process and system management
  • Assesses current and projected staff workload to ensure that the department's goals and objectives are achieved in a manner consistent with best practices and in compliance with university policies
  • Conducts research, recommends action, and provides advice to the Chair on complicated, sensitive and confidential situations
  • Evaluates current processes and searches for efficiency-building alternatives within the department and school
  • Fulfill responsibilities and coverage of division administrators during planned and unplanned absences (i.e., LOA, resignations).
  • Attends and contributes to department leadership meetings; anticipates, plans and achieves the daily and strategic administrative operations of the department
  • Oversees promotion and tenure life-cycle
  • Performs day-to-day operational tasks relating to office management, including making recommendations in determining the best use of space, purchasing or overseeing the purchase of general business materials, office services, and supplies for department faculty and staff
  • Serves as a liaison and resource with other School of Dentistry departments, external individuals, and groups

25% Education Coordinator

  • Serve as the point of contact for course support in Restorative Sciences
  • Work 1:1 with faculty and division administrators to implement online improvements and redesign existing course sites, construct new sites and incorporate additional Canvas tools
  • Act as a liaison with the Director of Assessment and Curricular Integration to resolve issues and remain current on School of Dentistry curriculum delivery efforts
  • Oversee the implementation and maintenance of the Digital Accessibility Project directives
  • Train faculty and division administrators on best practices and ensure course materials are converted and updated after every session
Qualifications

Required Qualifications

  • BA/BS with at least 4 years of experience or a combination of related education and work experience to equal eight years; position involves comparing, verifying and reconciling data to help departments achieve overall objectives.

  • Supervisory experience
  • Ability to coordinate the work of others
  • Experience in higher education/or complex organizations
  • Ability to exercise professional demeanor and actions when dealing with students, staff, faculty, and the general public
  • Extensive computer experience with word processing, spreadsheets, data entry, and manipulating data on inter-relational databases; proficient in Google Workspace and Microsoft Office
  • In-depth knowledge of office procedures
  • Ability to work successfully as a team player
  • Ability to organize and prioritize multiple tasks to meet deadlines
  • Demonstrates flexibility and initiative, as well as the ability to work independently with minimal supervision
  • Ability to use sound judgment within a multiplicity of demands
  • Demonstrated ability to analyze and resolve complex problems

Pay and Benefits

Pay Range: $69,500 - $75,000 USD/year; depending on education/qualifications/experience

Time Appointment Category: 75%-100% Appointment (If job description above does not specify appointment or expected weekly hours, assume a 100% appointment.)
