We are seeking a highly professional and detail-oriented Legal Assistant to support the office of the Managing Partners (MPs). This position requires exceptional confidentiality standards and communication skills, while performing high-level administrative support.

Job Functions:

  • Extensive calendar and email management, including, overseeing the Managing Partners' calendars by coordinating internal and external meetings, actively communicating changes or reminders with Managing Partners and team members as needed, screening incoming emails and calls, and managing schedules, while maintaining the highest level of discretion and professionalism.
  • Proactively schedule recurring meetings, including monthly meetings with Department Chairs, Practice Group Leaders and Firm Committee, monthly partner meetings, and Practice Group Leader presentations.
  • Prepare, edit, and maintain highly sensitive firm documents.
  • Proactively reviews key Managing Partner duties to prompt Managing Partners of upcoming deadlines and responsibilities.
  • Schedule interviews for the Managing Partners and lateral partner candidates, and prepare candidate profiles. Collaborate with search firms as needed.
  • Draft, proofread, and format Firm communications, legal documents, correspondence, and reports.
  • Coordinate all business-related travel arrangements for the Managing Partners.
  • Additional administrative support for Managing Partners as directed.
  • Consistently maintain a courteous and service-driven demeanor when communicating with internal and external clients. Utilize strong verbal and written communication skills to ensure that information is accurately relayed to the appropriate contact.
  • Fosters collaboration throughout the Firm by consistently assisting others with questions, projects, and basic tasks.
  • Takes the initiative to enhance skills through self-led and Firm-led trainings. Shows willingness to share knowledge with legal assistants to strengthen the team.
  • Performs other duties and responsibilities as assigned.

Qualifications:
  • Minimum High School Diploma. 10-15 years of consistent executive level administrative experience in a fast-paced organization, preferably a professional services setting.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other firm software, including but not limited to 3E, Elite, iManage, and Adobe.
  • Exceptional discretion and ability to adhere to high standards of confidentiality.
  • Demonstrated ability to balance customer service while delivering high results and productivity.
  • Effective oral and writing communication skills with strong knowledge of grammar, spelling, punctuation, and legal terminology.
  • Demonstrated flexibility and the ability to handle complex, multi-faceted tasks. Ability to switch between tasks quickly while maintaining strong organization and attention to detail.
  • Team player and willingness to support others and take on additional responsibilities as needed.
  • Ability to lift boxes and move files as needed.
