The University of Southern Indiana is seeking a motivated and experienced individual for the role of Distribution Services Supervisor. This role is responsible for overseeing all operations related to mail, freight, warehousing, distribution logistics, and repurposing of University material assets. Duties/Responsibilities
- Leadership and Supervision
* Supervise and provide leadership to Distribution Services staff, including technicians, part-time staff, and student workers. This includes performance evaluations at probationary level and annual review. Enforcement of departmental policy. * Oversee hiring, onboarding, training, and shift scheduling. * Establish and maintain standard operating procedures across mailrooms, freight, and warehouse operations in collaboration with supervisors. * Serve as the escalation point of contact for complex problem resolution for Distribution Services. * Facilitate the proper onboarding and skill development of staff on systems and equipment. * Serve as primary Distribution contact for: o University-wide bulk mailings in collaboration with Creative and Print Services o USPS programs, authorizations, and mailing permit. o Customer inquiries involving Distribution Services or the reassignment of University material assets o Vendor repairs and maintenance on mailing equipment
Distribution and Logistics * Manage mailroom and warehouse service requests via CMMS (Computerized Maintenance Management Software, e.g., WebTMA) at a supervisory level. * Oversee the receipt, sorting, tracking, and delivery of all incoming and outgoing mail, packages, and freight. Includes system maintenance of mail processing software (e.g. Satori), internal tracking systems, and shipping platforms. Includes all shipping systems including FedEx, UPS, USPS, and internal tracking software. * Collect performance data and establish benchmarks for Distribution Services to improve operational efficiency. * Gather and consolidate operational data for chargeback billing, reporting, and audits.
Warehouse and Inventory Management * Oversee the storage, disposal, and repurposing of excess campus furnishings. * Oversee the Central Receiving and Warehouse Technician's management of the warehouse. Partner with the technician to solve bottlenecks, establish standard warehouse processes, and improve operational efficiency. * Review interdepartmental documentation and communications routinely. Make recommendations to staff and leadership as necessary.
Equipment Oversight and Maintenance * Oversee the assignment of routes, inspections, repairs, and preventative maintenance tasks. Responsible for proper mail and freight handling in compliance with University and departmental policy. * Oversee the use and functionality of mailing equipment and supplies. Make recommendations for new equipment and supplies as necessary. Responsible for proper use and maintenance of all mailing and warehouse equipment. * Maintain current staff training records.
Safety and Compliance * Maintain compliance with USPS regulations, bulk mail standards, and University policies and procedures. * Oversee the filing of preventative maintenance and inspections. Ensure logs are current and accurate through routine review. * Responsible for the safety and compliance of warehouse and mailroom environments.
Operational Support * Provide cross-functional backup support to all distribution roles as needed, including the operation of mail production equipment within 12 months. * Recommend process improvements to leadership and contribute to departmental planning and budget development. * Support large-scale maintenance and rehabilitation efforts including summer programs (SWISH). * Other duties as assigned.
Required Knowledge and Skills
- High school diploma or GED.
- Minimum two years of experience in mailroom, logistics, warehouse, or production operations.
- Minimum one year of supervisory experience or equivalent leadership role.
- Strong communication, organizational, and time management skills.
- Working knowledge of computers, internet, word processing, spreadsheets, databases, email software.
- Experience working with inventory systems or shipping platforms.
- Valid driver's license; ability to operate university fleet vehicles.
- Forklift and electric pallet jack certification (or ability to obtain and maintain).
Preferred Knowledge and Skills
- Knowledge of USPS standards and presort software (e.g., Satori).
- Familiarity with mailroom equipment, asset management practices, and warehousing workflows.
- Certification through USPS Mailpiece Design Professional Program (MDPP) or successful certification within the first twelve months of employment.
Regular Work Hours/Travel Requirements
Regular hours: Monday-Friday, 8:00 a.m. to 4:00 p.m.; occasional overtime, evenings, or weekends.
