Job Description

Job Title: Fuel Supply Coordinator

Location: Houston, TX

Reports to: Senior Director, Fuel Supply

Wages: Commensurate with experience

Schedule: Monday through Friday, 8:00am - 5:00pm; Some overtime and weekends will be required

Job Objective: The Fuel Supply Coordinator plays a key part in the success of the Fuel Supply team by supporting daily operations and contributing to the team's responsiveness and efficiency. This role is responsible for maintaining accurate records, coordinating with suppliers and carriers, resolving data issues, and assisting with day-to-day tasks and special projects.

Essential Duties and Responsibilities: In addition to the essential job functions described below, all associates will perform duties as requested by management. Assigned responsibilities and duties may vary based upon location size and operation.



  • Correspond with suppliers to address allocation and loading issues.
  • Maintain accurate records of supplier contacts, terminal information, loading numbers, and product details.
  • Track and update supplier outages and terminal information.
  • Verify and correct pricing discrepancies on supplier invoices.
  • Research and process Bill of Lading (BOL) change requests.
  • Authorize new carriers and update internal records accordingly.
  • Support dispatch in troubleshooting allocation and loading challenges.
  • Approve third-party carrier costs for payment.
  • Create and maintain regular reports, including monthly activity summaries.
  • Answer incoming calls and provide general team support.
  • Assist with department projects and provide backup support as needed.
  • Participate in emergency response efforts, which may require extended hours.


Basic Requirements



  • Willingness to work in the office (must be local).
  • Minimum 2 - 4 years of administrative experience.
  • Experience in the fuel industry.
  • Proficiency with SAP.
  • Must have a flexible schedule.
  • Motivated, with strong communication skills for interacting with co-workers and management.
  • Ability to work well in a team environment.
  • Excellent organizational skills and attention to detail.
  • Proficiency in multitasking and prioritizing multiple deadlines.
  • Strong written and verbal communication skills for effective collaboration with suppliers and cross-functional teams.
  • Excellent data entry skills.
  • Represents the company in a professional and courteous manner at all times.
  • Strong proficiency in Microsoft Outlook, Word, and Excel.
  • Ability to manage multiple and changing priorities in a fast-paced environment.
  • Strong analytical and problem-solving skills.
