Job Summary:

In a career as a Clinic Administrative Support Assistant, you join us in providing life-changing care to patients from across the region. In this role, you will perform a variety of duties in support of the assigned department including the appointments and scheduling of patients and providers. Utilize the electronic record system to conduct procedures of registration, scheduling, filing, scanning, insurance and other significant patient representative functions. Adhere to established Clinic Standards policy to promote consumer satisfaction and a positive work environment. Ensure a positive interaction in each patient and family encounter.

Schedule: Full-Time; 8:00 AM-4:30 PM Monday-Friday

Locations: Pacific Street

MAJOR RESPONSIBILITIES & DUTIES:

  • Utilizes electronic health record (EHR) to schedule patients for medical appointments, via telephone, portal or in person, using provider scheduling protocols and best efforts to accommodate patient preferences.
  • Performs established EHR workflows for the registration of patients by obtaining referral authorization for office visits and/or testing, verifying current demographic information, referral physician, race and ethnicity, and preferred pharmacy; coordinates patient appointments within the hospital as well as outside facilities. Follows established protocols for verification of legal guardians, insurance collection and documentation of co-payments, and payments on account. Distributes and/or obtains signature on any patient forms, consents, portal enrollment, and questionnaires as directed by the clinic at the time of check in.
  • Processes all incoming phone calls to include scheduling appointments, registering new patients, processing nurse call information, pharmacy refills and referral requests, paging physicians and staff, answering patient questions and other miscellaneous calls. Billing/insurance questions will be answered or referred to the Patient Financial Services office as appropriate. Details of phone calls are documented in EHR, when applicable. Policies related to patient privacy, confidentiality and HIPAA will be followed at all times.
  • Acts as a focus of communication and resource person for callers/guests/staff requiring information or direction.
  • Maintains the daily physician appointment templates at the direction and approval of the Clinic Administrative Support Supervisor and/or Clinic Nurse Supervisor.
  • Follows established Interpretative Services guidelines for requesting interpreters for non-English speaking patient appointments.
  • Assembles patient packets as directed.
  • Pulls patient charts as needed. Ensures requests for records are complete.
  • Completes miscellaneous reports and letters as needed.
  • Supports patient care quality initiatives as directed.
  • Assists in the orientation and training of new employees as requested.
  • Facilitates handling of pharmaceutical representatives and vendors in accordance with the organizations practices.
  • Miscellaneous duties to include but not limited to scanning of documents, maintaining office equipment, processing of mail and faxes, monitoring forms and office supplies, and assisting in maintaining a safe and clean work space and patient wait area.
  • Follows established clinical standards guidelines, protocols and etiquette all times to promote a positive work environment, encourage team work and facilitate problem solving.
  • Demonstrates compliance with the mission, vision and values of the organization and the clinic standards.

REQUIRED QUALIFICATIONS:

  • High school diploma or equivalent required.
  • Knowledge of medical terminology required.
  • Able to maintain complex/confidential records required.
  • Ability to type 30 wpm required.
  • Previous working knowledge of using a personal computer and electronic medical records required.
